Reconstruction Project Coordinator



We are seeking a detail-oriented and organized Reconstruction Project Coordinator to support the successful execution of residential reconstruction projects. This role is responsible for coordinating project documentation, assisting with scheduling and communication, maintaining production files, supporting insurance and estimating processes, and ensuring projects progress efficiently from start to finish.

The ideal candidate thrives in a fast-paced environment, can manage multiple priorities simultaneously, and communicates professionally with customers, subcontractors, insurance carriers, and internal team members.

Key Responsibilities

  • Read and understand reconstruction scopes, insurance estimates, and Xactimate estimates
  • Coordinate and manage details for multiple active reconstruction projects simultaneously
  • Assist Project Managers and Production teams with project scheduling, tracking, and administrative support
  • Maintain accurate and complete production files, including:
    • Notes
    • Photos
    • Contracts
    • Change orders
    • Permits
    • Insurance documents
    • Job-related correspondence
  • Upload and organize project documentation in company software systems
  • Obtain required job documentation from internal team members and ensure file completeness
  • Answer incoming calls regarding new losses and assign projects to the appropriate teams as needed
  • Create and maintain customer build selection sheets and finish schedules
  • Communicate professionally with customers regarding project updates, scheduling, and outstanding items
  • Monitor project budgets, timelines, and progress to help ensure projects stay on schedule and within budget
  • Assist with collections and obtaining final payments upon project completion
  • Report project progress, delays, and challenges to management
  • Attend team, production, and divisional meetings
  • Support continuous improvement initiatives and uphold company standards for customer service and professionalism
Qualifications & Requirements

  • Construction or reconstruction industry experience preferred
  • Experience with Xactimate and insurance restoration processes preferred
  • Strong organizational and multitasking abilities
  • Ability to manage multiple projects and deadlines simultaneously
  • Excellent verbal and written communication skills
  • Strong attention to detail and follow-through
  • Proficient with Microsoft Office and construction management software
  • Ability to work effectively in a fast-paced team environment
  • Professional demeanor and positive attitude
  • High school diploma or equivalent required; additional construction or administrative experience preferred

Schedule

Monday – Friday
7:00 AM – 4:00 PM

Compensation: $60,000.00 - $70,000.00 per year
