Are you organised, approachable, and passionate about supporting women to achieve positive change? The Nelson Trust is looking for a Receptionist/Administrator to become the welcoming face of our Women's Community Services Centre in Newport.

This is an exciting opportunity to join a dedicated, trauma-informed team that supports women facing multiple disadvantages, including housing issues, substance misuse, mental and physical health challenges, financial difficulties, previous trauma, and involvement with the criminal justice system.

About the Role

As Receptionist/Administrator, you will play a vital role in ensuring the smooth day-to-day running of the Newport centre. You will provide a professional reception service, coordinate administrative processes, maintain accurate records, support data collection and reporting, and help create a welcoming, safe, and supportive environment for women accessing our services.

Key Responsibilities

• Welcome clients, visitors, and partner agencies to the centre.
• Manage incoming calls, enquiries, messages, and correspondence.
• Coordinate daily attendance and maintain accurate records.
• Support health and safety processes, including visitor logs and fire safety checks.
• Manage referrals, waiting lists, and client records on our case management systems.
• Input and monitor data to support service delivery and reporting requirements.
• Assist with the preparation of reports, KPI monitoring, and data quality checks.
• Support centre events, meetings, and general administrative functions.
• Maintain office supplies, petty cash records, and administrative systems.

About You

We are looking for someone who is:

• Experienced in using Microsoft Office, including Word, Outlook, and Excel
• Highly organised with excellent attention to detail
• Able to manage a varied workload and work independently
• An excellent communicator with strong interpersonal skills
• Able to work collaboratively within a busy team environment
• Flexible, professional, and comfortable managing competing priorities and interruptions
• Committed to maintaining confidentiality and safeguarding standards

Desirable

• Experience using databases or case management systems
• Experience within the charity, health, social care, or community sector
• Experience using design software such as Photoshop, InDesign, or Publisher
• A proactive approach and willingness to improve

Additional Information

This role is subject to an Enhanced DBS check due to working with vulnerable adults and children. This post is exempt under Schedule 9, Part 1 of the Equality Act 2010 and is therefore open to female applicants only. Successful applicants will also be required to complete a three-month probationary period.
