Onsite in our Deland, FL office- 5 days/week, not remote or WFH

We are looking for a Receptionist Administrative Assistant for our Deland, FL office!

  • This is an in-person position in our Deland location (5 days in office, no remote/WFH).
  • Sponsorship is not available for this position

We are seeking a highly organized and detail-oriented Receptionist/Administrative Assistant to provide comprehensive support to our team. The ideal candidate will play a key role in ensuring smooth day-to-day operations, managing reception duties, and maintaining an efficient workplace.

Essential Duties:

• Serve as the first point of contact by welcoming visitors and directing them appropriately.

• Answer and route phone calls, emails, and inquiries in a professional and courteous manner.

• Manage and organize schedules, appointments, and meetings for team members.

• Prepare and edit correspondence, reports, presentations, and other documents as needed.

• Handle office supply inventory and place orders as needed.

• Support team projects by conducting research, compiling data, and assisting with administrative tasks as needed.

• Ensure confidentiality of sensitive information and adhere to company policies.

• Manage the reception area to ensure it always remains tidy and presentable.

• Receive, sort, and distribute mail and packages.

• Facilitate outbound mail, including sending tracking information to appropriate parties and managing the postage program.

• Follow the Group Code of Conduct and Group Compliance.

• Follow Compliance requirements per “KNA-SOP-1705 Compliance Roles and Responsibilities.”

• Performs all other duties as assigned.

Education/Experience:

• Proven experience as an Administrative Assistant, Receptionist, or in a similar role.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

• Ability to work independently and as part of a team in a fast-paced environment.

• Ability to learn new skills quickly.

• High school diploma or equivalent

• Knowledge of office management systems and procedures.

• Customer service orientation and problem-solving abilities.

Physical Demands:

Strength & Mobility: This position primarily involves seated work, with occasional standing or walking as needed. Must be able to exert up to 10 lbs. of force occasionally, up to 5 lbs. frequently, and a negligible amount constantly to lift, carry, push, or pull objects.

Dexterity & Coordination: Frequent use of hands and fingers for typing, handling documents, operating office equipment, and interacting with digital tools.

Visual & Auditory Requirements: Requires specific vision abilities, including close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus for reading, computer work, and document review.

Cognitive & Communication Demands: Requires sustained mental focus, problem-solving, and analytical skills. Effective verbal and written communication, including collaborating with others, phone calls, emails, and in-person discussions.

Work Environment: Typical office setting with controlled lighting, temperature, and noise levels.
