About the School - The British School of Barcelona (Castelldefels):
The British School of Barcelona (BSB) is a great school in a wonderful
location. We are an HMC school and were judged by a recent BSO (British Schools
Overseas) inspection to be outstanding in every area, including quality of
education, safeguarding, pupil welfare and academic outcomes.

BSB is a large, very popular school for children aged 3 to 18. Our
curriculum is based on the English National Curriculum, and we offer a wide
range of GCSEs, A levels, BTEC and the International Baccalaureate Diploma
(IB), all alongside a significant enrichment programme.

Approximately 2350 students from more than 74 nationalities attend the
school and over 325 staff work at BSB. We are based in three locations, two
just outside the city of Barcelona – in Castelldefels, where we have a Primary,
Secondary and Pre-University campus, and in the cosmopolitan town of Sitges,
where we have another Primary campus. There are two more campuses in Barcelona, located in the heart of the
city and featuring a Foundation campus, BSB Esperanza, which offers EY and Year
1 (opened in September 2021), as well as a brand-new main campus, BSB Luca,
which offers Primary, Secondary, and Pre-University education and opened in
September 2023.

In September 2026 we will be opening another campus, initially for EYFS
and Primary-aged students, north of Barcelona, in the Maresme area.

The growth of the school has been accompanied by significant investment
over recent years, including the building of a state-of–the art Pre-University
Centre (Nexus), a full-sized 4G rugby and football pitch, dedicated STEAM
facilities and the new BSB City and Maresme campuses.

Barcelona is a wonderful place to live, combining an amazing city with

The school now has an exciting opportunity for an experienced Receptionist/Admin Support to join our fantastic team.

We are seeking a permanent, part-time (mornings) Receptionist/Admin Support to join our BSB Castelldefels campus. The role involves delivering excellent customer service while providing efficient administrative support in a busy and dynamic environment. This is an exciting opportunity to make a positive contribution to the daily life of the school. As a key member of our administrative team, you will play an important role in supporting the smooth day-to-day running of the school and contributing to its continued growth and success. Key
Responsibilities
Receptionist:
•Supplier Evaluation and Selection: Analyze and select suppliers, products, and services to ensure high-quality, cost-effective purchases that support the school’s operational and educational goals.
•Purchasing and Logistics Coordination: Oversee the purchase of consumables for various departments, manage deliveries, and ensure the organized distribution of resources throughout the school.
•Negotiation and Cost Control: Seek innovative solutions to maximize resources, manage expenses, and negotiate favorable terms with suppliers to ensure continuous cost control.
•Policy Compliance: Ensure all procurement activities adhere to the school’s policies and procedures, maintaining transparency and accountability in purchasing processes.
•Event Management: Organize key school events such as prom, graduation ceremonies, and other significant events, ensuring smooth execution and memorable experiences for the school community.
•Educational Trip Coordination: Manage and coordinate educational visits, day trips, and overnight stays, collaborating with external providers, organizing insurance, and ensuring successful planning and safety.
•Inventory and Stock Control: Monitor inventory levels, identify purchasing needs, and implement processes to maintain adequate supplies of resources across the school.
•Supply Chain Analysis: Maintain detailed records and analyze supply chain data to continuously optimize procurement processes and resource allocation.

Administrative Support:
•Cross-Departmental Collaboration: Support various departments with administrative tasks, reporting, and communication, ensuring a smooth flow of information and facilitating efficient operations.
•Data and Document Management: Organize, maintain, and update spreadsheets, databases, and filing systems, providing support to the department and other teams as needed.
•Task Monitoring and Scheduling: Track important deadlines, manage schedules, and handle correspondence, ensuring that tasks are completed on time and operations remain on track.
•Process Optimization: Continuously assess and improve administrative processes, implementing more efficient procedures and systems that enhance daily operations.
•Regulatory Compliance: Ensure compliance with all administrative and regulatory requirements, managing the filing of paperwork with the relevant authorities.

Who We Are Looking For:
We are looking for a welcoming, organised and proactive Receptionist to join our British school.

Candidate Profile
•Minimum of 2 years' experience in a
similar role.
•Excellent communication, organisational
and multitasking skills.
•Fluent in English and Spanish. Additional
languages will be an advantage.
•Proactive, solution-oriented and enjoys
working with children.
