Job Description

Wood is currently looking for a Receptionist / Administrative Assistant to join our team and provide professional front office and administrative support, ensuring the smooth day-to-day operation of the office while delivering excellent customer service to employees, clients and visitors.

  • Welcome visitors, clients, and guests in a professional and friendly manner.
  • Manage incoming calls through a multi-line telephone system and direct inquiries appropriately.
  • Receive, sort, and distribute incoming mail, courier deliveries, and correspondence.
  • Maintain employee and department directories and provide information as required.
  • Schedule meetings, manage calendars, and coordinate meeting room bookings.
  • Support office administration activities and provide clerical assistance to various departments.
  • Maintain visitor logs, issue visitor badges, and ensure compliance with office security procedures.
  • Order and maintain inventory of office and reception supplies.
  • Assist with company-wide communications and announcements.
  • Ensure the reception and common office areas are maintained in a clean, safe, and professional condition.
  • Handle general inquiries from employees and visitors promptly and efficiently.
  • Operate office equipment including telephones, printers, scanners, and other administrative tools.
  • Support continuity of office operations through effective communication and record keeping.
  • Perform additional administrative and office support duties as required.
  • Bachelor Degree, additional qualification in Business Administration or Office Management is an advantage.
  • 2-4 years of experience in a receptionist, administrative assistant, or similar office support role.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
  • Strong verbal and written communication skills.
  • Experience handling office equipment and telephone systems.
  • Excellent organizational and time management skills.
  • Ability to work independently and manage multiple priorities.
