Introduction

The Jim Pattison Auto Group is seeking a friendly, dependable, and highly organized Receptionist to be the welcoming face of our Jim Pattison Toyota on Regent dealership. As the first point of contact for customers, visitors, and employees, you’ll help create a positive, welcoming experience while keeping our showroom running smoothly.

You’ll take pride in providing visitors with an outstanding experience, staying organized, and ensuring every interaction reflects our strong commitment to our customers.

Schedule: This is a full-time, permanent position of 40 hours per week.

Key Responsibilities

• Greet all visitors entering the showroom, respond to inquiries promptly, and connect visitors with their host
• Answer incoming calls on a multiline phone system promptly and professionally
• Welcome and assist customers in the lounge areas
• Keep the work space tidy and the customer lounge well stocked (coffee station, kids’ station)
• Process customer payments
• Book service appointments through the software system
• Close paid work orders
• Distribute incoming mail
• Maintain strict confidentiality of company and customer information
• Help foster a supportive and enjoyable work environment
• Perform other administrative duties as assigned

Key Qualifications

• Previous experience in a customer-facing role is an asset
• Previous automotive industry experience is a strong asset, including familiarity with CDK or One-Eighty software
• Experience operating a multiline phone system is preferred
• Proficient in Microsoft Office (Word, Excel, Outlook)
• Strong customer service skills with a friendly, approachable manner
• Strong organizational and time management skills
• Accurate data entry skills
• Detail-oriented, with the ability to multitask and prioritize effectively
• Able to stay calm and focused in a fast-paced environment
• Reliable, punctual, and dependable
• Strong written and verbal communication skills
• Ability to interact professionally with others
