Job Summary

Oversees visitor interactions, phone communications, office organization, and administrative tasks, ensuring a safe, welcoming, clean, and efficient environment.

Essential Functions

  • Answer and direct incoming phone calls to the appropriate individuals or departments. Provide accurate information to walk-in, phone, and email inquiries about the company's products, services, and operations.
  • Control access to the building; Greet and receive visitors, determine the nature of business, and direct visitors to the appropriate person or destination.
  • Collect, sort, and distribute incoming mail.
  • Provide administrative support, such as data entry, filing, reserving meeting space, and preparing documents as required.
  • Manage office supplies inventory and place orders when needed, ensuring smooth office operations.

Education & Experience An equivalent combination of education and experience will be considered.

  • High school diploma or GED preferred.
  • One (1) year of receptionist, customer service, administrative support, or related experience preferred.
  • Experience answering multi-line phone systems, greeting visitors, and providing administrative support preferred.
  • Proficiency with Microsoft Office applications (Outlook, Word, and Excel) and standard office equipment preferred.
  • Experience working in a nonprofit, human services, workforce development, or community-based environment is a plus.

  • Must have a positive, friendly demeanor for interacting with visitors and guests.
  • Clear verbal communication skills and ability to give and follow written and oral instructions.
  • Knowledge of Microsoft Office programs (Word, Excel, Outlook), basic office equipment/machines and corporate phone systems.
  • Ability to effectively organize and prioritize work as well as concentrate on multiple tasks simultaneously.
  • Ability to work independently and make responsible decisions.
  • Ability to use good judgment and think quickly and rationally in difficult or stressful situations.
