Job Summary

The Receptionist at the Administration Building provides a variety of receptionist and clerical duties related to the operation of the front desk at the Central Administration Building. This position serves as a welcoming first point of contact by greeting and directing visitors, responding to inquiries from staff, the public, parents, students, and others, providing information and referrals, and providing general clerical support as needed.

Key Responsibilities

  • Answer the telephone system by screening calls, transferring calls, responding to inquiries, and taking messages.
  • Greet individuals entering the building, including visitors, parents, students, vendors, and others, and direct them to the appropriate location in accordance with established building security procedures.
  • Distribute site and interoffice mail, special deliveries, overnight mail and packages, messages, application packets, and other materials to the appropriate recipients.
  • Maintain building information, including message boards, use schedules, staff directories, emergency contacts, and other reference information.
  • Maintain reception area materials, including job applications, newsletters, event calendars, and other resources for visitors.
  • Perform general clerical functions such as scheduling, copying, faxing, data entry, and filing.
  • Process district volunteer applications and background checks to support the efficient and effective functioning of the work unit.
  • Receive mail, special deliveries, packages, supplies, and other items and distribute them to the appropriate parties.
  • Maintain confidentiality and demonstrate tact and courtesy when working with diverse groups.
  • Adapt to changing priorities and work effectively with frequent interruptions.
  • Perform other related duties as assigned.

Qualifications

Education: High School diploma or equivalent.

Experience: Job-related experience is required.

Knowledge, Skills & Abilities:

  • Knowledge of business telephone etiquette.
  • Ability to prepare and maintain accurate records.
  • Ability to operate standard office equipment and utilize pertinent software applications.
  • Ability to schedule activities and meetings and gather and organize information.
  • Ability to follow complex, multi-step written and oral instructions.
  • Ability to communicate effectively with staff, students, parents, visitors, vendors, and the public.
  • Ability to maintain confidentiality and exercise good judgment.
  • Ability to work effectively with frequent interruptions and changing priorities.
  • Ability to demonstrate tact, courtesy, and professionalism.
