Receptionist & Operations Coordinator

Purple is an internationally renowned Public Relations Agency providing services to leading global brands and the next generation of talent within fashion, music, beauty, lifestyle, and luxury goods — and a subsidiary of the Together Group.
We are looking for an enthusiastic and detail-oriented Receptionist and Operations Coordinator to support the smooth day-to-day running of our New York office. Reporting to the Managing Operations Director, this is a great entry point into agency logistics, offering exposure to a wide range of administrative facilities, and business support functions.
The ideal candidate is proactive, personable, and highly organized — someone who takes pride in creating a welcoming office environment to service both employees and clients and is eager to learn how a fast-paced PR agency operates behind the scenes.
Key Responsibilities
Front of House & Reception
- Serve as the first point of contact for the office — greeting visitors warmly and managing a high volume of calls, messenger pickups/drop-offs and queries efficiently.
- As the first person on site daily, always man the reception desk and coordinate adequate cover while supporting logistical tasks as required, away from the front desk.
- Ensure the office is kept tidy, presentable, and welcoming, with particular attention to the kitchen, reception area, and conference rooms.
- Liaise US Operations Director to maintain front-of-house security and ensure smooth visitor management.
Office Operations & Facilities
- Act as point person for office maintenance requests via the Building Manager.
- Manage stocktaking and ordering of office supplies including printer supplies, stationery and various office consumables for kitchen and bathroom.
- Ensure office equipment, hardware, and furniture is in good working order and flag issues as needed.
- Assist with mailing, shipping, supplies, equipment, and light errands as required.
- Support office projects as directed, including maintaining Face Sheets and RSVP inboxes for events.
- Monitor the company global calendar, the US Evens calendar and flag scheduling conflicts to the Operations Director.
IT & Technology Support
- Assist with IT and computer setup and offboarding for new hires and leavers, including issuing access passes and coordinating equipment.
- Work closely with internal and external IT support to ensure smooth functioning of office systems, AV, conference room tech, and networks.
- Support the Operations Manager in maintaining and distributing company platform access (travel tools, Uber for Business, security systems, etc.).
Administrative & Business Support
- Provide general administrative support to the Operations Director as required.
- Assist in maintaining and updating the office budget spreadsheet under the guidance of the Operations Director
- Help maintain organized records including vendor contacts, office subscriptions, and operational and process documents.
- Support contract filing and maintenance, ensuring documents are up to date and accessible.
- Respond to ad hoc requests from internal teams regarding office logistics and operational needs.
Agency Platforms & Database
- Support the upkeep and accuracy of the agency’s global database under the direction of the Operations Director.
- Assist with platform administration for the agency’s influencer and media tools, attending training sessions to stay current on features.
- Help communicate platform updates and changes to relevant internal teams.
Culture & Internal Communications
- Help plan and coordinate internal events and team-building activities, including Purple Summer and Holiday activations.
- Assist with content gathering for the Together Group and Purple internal newsletters.
- Contribute to a positive and collaborative office culture.
- Communicate with internal departments on stock and sample management across showroom and storage areas.
- Support the intern program alongside the HR and People team.
Skills, Knowledge & Expertise
- 1–2 years of experience in an office coordination, administrative, or reception role via internships or actual job experience with an agency, or luxury brand.
- Bachelor’s degree or equivalent; a field such as Business, Communications, or Marketing is preferred but not required.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Comfortable learning new tools and platforms quickly.
- Excellent written and verbal communication skills.
- Highly organized with great attention to detail — nothing slips through the cracks.
- A natural people-person with strong emotional intelligence and a positive, can-do attitude.
- Adaptable and calm under pressure; able to juggle multiple tasks without losing focus.
- Trustworthy and discreet when handling sensitive or confidential information.
