The Receptionist intern is a member of the Housing Division and reports to the Director of Strategic Initiatives. They will be responsible for overall supervision of the receptions area in addition to providing administrative support to Housing's operations. The Receptionist is responsible for the following:
- Receive visitors at the front desk by greeting, welcoming, directing, and announcing them appropriately
- Assist and provide direction and information to clients, visitors, and other guests of the organization
- Work collaboratively with Tenant Relations Specialist to deliver quality services to tenants and prospective tenants
- Answers, screens, and directs phone calls to staff; takes messages and schedules appointments
- Receive mail, documents, packages, and courier deliveries and delivers or distribute items
- Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)
- Maintain office security by following safety procedures and controlling access via the reception desk
- Update calendars and schedule meetings, including reserving and monitoring appointments that require usage of conference spaces
- Performs other clerical receptionist duties such as filing, photocopying, data entry, recordkeeping, etc.
- Collaborate with Operations team to ensure general office maintenance/procedures are being upheld
- Coordinate with Operations to restock materials in the kitchen e.g. utensils, paper towels, etc.
- Other duties as needed
COMPETENCIES
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Experience in a fast-paced environment
- Excellent interpersonal and customer service skills
- Basic understanding of administrative and clerical procedures and systems
- Proficient with Microsoft Office Suite or related software
- Excellent verbal and written communication skills
- Detail oriented, disciplined, and organized
- Multitasking and time-management skills, with ability to prioritize tasks
- Customer service attitude
- Ability to maintain confidentiality and use appropriate discretion
- Ability to be resourceful and proactive when issues arise
- Bilingual: Spanish required
EDUCATION and EXPERIENCE
- High School diploma or equivalent required
