Foundever is seeking a professional and customer-oriented Receptionist to join our team at our Athens site. As the Receptionist, you will be the first point of contact for employees, new hires, guests, and clients, providing excellent service and ensuring a smooth and welcoming experience. In addition, you will collaborate closely with security employees and cleaning staff, monitor access, and support in facilities audits.
As a Receptionist, your daily responsibilities will include:
Reception/Facilities
- Serve visitors by greeting, welcoming, registering and directing them appropriately
- Receive incoming phone calls, obtain caller's details, take messages and forward calls to the appropriate person
- Answer and redirect incoming phone calls and emails to the appropriate departments or individuals
- Manage the reception area, ensuring it is clean, organized, and presentable
- Collaborate with the cleaning staff to maintain a clean and tidy reception area and other common areas
- Liaise with internal departments to facilitate efficient communication and coordinate visitor requests
- Provide information to callers regarding office address, operational hours and reception landline as per the GDPR regulations
- Register and redirect all file correspondence to the specific departments
- Ensure all specific facilities issues are logged and ensure remedial actions are completed proactively
- Own the appearance of your space and conduct scheduled quality inspections to assess office appearance
- Proactively ensure general office space is always tidy and presentable and instill a sense of ownership within the team
- Knowledgeable of and deploy the use of standard operating procedures that ensure consistency of quality services delivery throughout the site ensuring high quality visitor
- Proactive ambassador for building, providing solutions to issues
- Supportive to all Client’s initiatives
- Receive packages and equipment during working hours
- Monitor and control access to the premises, ensuring only authorized individuals enter the facility
- Maintain visitor logs, tracking arrivals, departures, and purpose of visits
- Collaborate closely with security employees to enforce security measures and protocol
- Support of parking spots of the building
- Receive equipment and access card from terminated employees
- Provide stationary and inform when order is necessary
- Co-ordinate on site hospitality
- Greet clients and visitors to our site
- Provide information and assistance to clients and customers
- Maintain conference room schedule
- Coordinate Postal Services in collaboration with Logistics
Supplier Management
- You work alongside supplier personnel and subcontractors to ensure satisfactory completion of service delivery
- Supplier performance is crucial in delivering excellence. You will log and track supplier related issues and support to ensure the customer receives the best output
- Event management support (meetings, workshops & induction day) set-ups, catering, materials, etc.
- Travel arrangements for associates
Finance
- You support preparation of purchases for Facilities needs
- Checking Facilities Order and Invoices according orders and contracts
- Input and maintain an updated record of invoices and purchase orders, electronically in the company applications and physically, if required

- At least 1 year in a similar position
- Minimum High school diploma
- Native/Fluent Greek speaker (C1/C2)
- Fluent English speaker (C1)
- Attention to detail
- Strong interpersonal, written and verbal communication skills
- Very good PC knowledge in MS Office
- Basic financial awareness
- Maintains calm and a positive attitude under stressful circumstances
- Must hold EU citizenship or valid work permit for Greece
- Be a local candidate as it is an office based position in Athens, Greece
