Receptionist /Facilities Coordinator
An exciting role for an experienced and professional receptionist wishing to join a busy team in a professional environment. The main purpose of this role is to ensure provision of an efficient and courteous reception service to all clients, visitors and staff and to manage office facilities.
This role will be on a Fixed Term Basis.
Duties include but are not limited to:
- Managing day to day presentation of reception and general office areas
- Meeting and greeting clients in a courteous, professional and friendly manner
- Managing meeting rooms / desk bookings
- Arranging catering requirements for meetings / office events
- Provide a professional and personable service to all clients
- Reserving meeting rooms and requesting catering arrangements
- Operating a busy switch board and directing calls in a positive and professional manner
- Booking taxi services
- Managing and ordering stationery and other essential office stock
- On-site H&S responsibilities
- Booking in maintenance appointments and managing maintenance schedule
- Using various software systems to report any maintenance issues
- Managing petty cash
- Ensuring site procedures are documented and kept up to date
- Supervising contractors when on site ensuring work completed to high standard
- Working with head office to implement initiatives within office relating to group wide programs
- Adhoc facilities and reception administrative tasks
- Any other reasonable request
Skills Required:
- Previous reception experience is essential
- Ability to confidently communicate with clients at all levels
- Computer literate, ICDL or equivalent
- Excellent professional etiquette
- Excellent communication skills
- Client service orientation/ customer care skills
- Excellent communicator and team player
- Self- motivated and keen eye for detail
- Excellent organisational skills
- Ability to adapt to a fast paced, hands-on environment
- MS Office and switch board experience
