The Receptionist & Facilities Assistant is the first point of contact for clients, visitors, and colleagues, delivering a professional, discreet, and welcoming front-of-house service in a legal environment.

Who you will work with

The role is responsible for managing reception operations, handling calls and enquiries, coordinating meeting rooms, supporting lawyers and business professional's teams with day-to-day office requirements, supporting the Office & Legal Support Manager with matters related to office operations and facilities and some light IT support. The Receptionist & Facilities Assistant represents the firm’s values and brand, maintaining the highest standards of professionalism, confidentiality, and client service at all times.

What you will be responsible for

  • Providing a professional, friendly, and efficient reception service to all visitors, clients and employees.
  • Managing access cards for employees & visitors along with parking registrations.
  • Answering and management of calls.
  • Coordinating meeting room bookings with necessary set up – AV equipment, presentation materials, catering requirements.
  • Managing printing, scanning, copying and binding requests.
  • Managing office supplies, equipment and branded stationery inventories.
  • Logging and processing of courier requests and regular mail.
  • Updating document originals tracker and supporting lawyers with originals processing.
  • Co-ordinating transport requests with driver calendars and make bookings with transport vendors.
  • Processing supplier invoices and managing petty cash claims.
  • Coordinating employee onboarding/offboarding logistics including hotel bookings, access cards, IT equipment, business cards etc.
  • Liaising with local IT team to provide some deskside IT and server room support.
  • Coordinating desk assignments for employees and visitors and ensuring correct IT set up.
  • Arranging building access permits for vendors & contractors.
  • Managing the end‑to‑end archiving process for original documents.
  • Supporting health, safety and wellbeing initiatives including training to be a First Aider and Fire Warden.

What you will do

Facilities support

  • Liaising with Building Management and contractors for MEP and other operational services, sourcing new vendors when required.
  • Conducting daily inspections of office premises and facilities maintaining office appearance and workplace standards.
  • Monitoring BMS and MEP systems and report faults.

Qualifications

Your experience

  • Previous experience in a corporate reception environment and with extensive administrative experience (professional services experience is a plus).
  • Previous experience with office operations and facilities management.
  • Strong written and verbal communication skills, with the confidence and professionalism to engage effectively with stakeholders at all levels across the business.
  • Well organised, efficient and able to prioritise a high volume of tasks both daily and ongoing.
  • Ability to work under pressure, effectively managing challenging situations while maintaining professionalism and sound judgement with clients and colleagues.
  • Strong problem-solving capabilities, with the ability to independently manage issues, make informed decisions, and deliver effective resolutions.
  • Technically minded and able to pick up how to use office equipment and software and adapt it to best serve the needs of the office, particularly with regard to meeting room IT requirements.
  • Fluent English skills (Arabic speaking is beneficial but not mandatory).
  • Proficient in Microsoft Word, Excel, and PowerPoint.
