Job Description

Location: St Paul's, London

This is a Permanent Full-Time position, 37.5 hours per week

Monday to Thursday, 9:00 - 17:30
Friday 9:00 - 17:00

This role is paying up to £27,000

We are looking to hire a Receptionist/Facilities Assistant ideally with hospitality industry experience who is customer service focussed and also a team player.

What You'll be doing:

  • Represent Mintel and be the face of the business by providing a welcome experience for clients, visitors and colleagues
  • Support the day-to-day running of Mintel House and company apartments, ensuring they are maintained to a high standard
  • Assist with ad hoc requirements from our Belfast and German offices.
  • Assist with the management of the company vehicle fleet
  • Coordinate internal and external social events and staff welfare
  • Organize catering for meetings and events as required
  • Arrange taxis, restaurant reservations and courier services for employees and clients
  • Work alongside our dedicated travel management company to organize business travel and accommodation across our global regions
  • Assist with travel and entry requirements including registering employee VISAs
  • Be responsible for departmental purchases using the company credit card and track and record all expenses on our finance recording platform
  • Collaborate with all aspects of the business across global regions and various departments and fulfill reasonable requests
  • Act as a First Aider and Fire Marshal when required and undertake training to perform these duties
  • Supervise external vendors providing cleaning, security and maintenance services
  • Update calendars, schedule meetings and ensure that meeting rooms are kept tidy and presentable
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Perform routine maintenance tasks including but not limited to; replacing light bulbs, using hand tools to complete repairs and manual handling

Skills and Experience

To be a successful candidate, you will need to be friendly, flexible and positive and possess the following skills and experience:

  • Excellent spoken and written communication skills
  • The ability to show initiative and attention to detail
  • A down to earth, friendly, confident and trustworthy and enthusiastic approach
  • A can do attitude and hands-on approach to fixing problems
  • Excellent time management and organisational skills
  • You'll need to be reliable, approachable and adaptable
  • Great team working skills but also the ability to work autonomously and take responsibility for fulfilling tasks and meeting deadlines
  • Previous experience in a customer or client facing role preferred
