Receptionist & Administrator (Part-Time)

Salary

£24,484.00 FTE (pro rata)

Working Pattern

15 guaranteed hours per week, working Monday and Tuesday, 9:00am to 5:30pm (with a one-hour unpaid lunch break).

Additional hours may be available to provide reception cover during periods of annual leave and other planned absences.

We are looking for a friendly, organised and professional Receptionist & Administrator to join our Canterbury office on a part-time basis. This is an excellent opportunity for someone who enjoys working with people, takes pride in delivering exceptional customer service and thrives in a busy office environment.

The Role

As the first point of contact for clients and visitors, you will play a key role in creating a welcoming and professional experience. You will also support the firm's new enquiries process, ensuring prospective clients receive a prompt, courteous and efficient service.

Working closely with colleagues across the office, you will help ensure the smooth day-to-day running of reception while supporting the firm's client onboarding process.

Key Responsibilities

Reception

  • Welcome clients, visitors and contractors in a professional and friendly manner.
  • Maintain a tidy, welcoming and well-presented reception area.
  • Answer, screen and transfer incoming telephone calls efficiently.
  • Respond to general enquiries and direct clients to the appropriate department.
  • Manage incoming and outgoing post and deliveries.
  • Book meeting rooms and prepare them for client meetings where required.
  • Provide refreshments for clients and visitors as appropriate.
  • Carry out general administrative tasks to support the office.

New Enquiries

  • Handle new client enquiries by telephone, email and in person.
  • Obtain relevant information from prospective clients accurately and sensitively.
  • Carry out initial conflict checks and client onboarding administration in line with firm procedures.
  • Allocate enquiries to the appropriate legal team.
  • Record enquiries accurately using the firm's case management system.
  • Deliver a high standard of client care throughout the enquiry process.
  • Follow up enquiries where appropriate and maintain accurate records.

General Responsibilities

  • Work collaboratively with colleagues across the firm to provide excellent administrative support.
  • Maintain confidentiality and comply with GDPR, SRA requirements and firm policies.
  • Provide reception cover during periods of annual leave and other planned absences where available.
  • Undertake any other reasonable administrative duties appropriate to the role.

Person Specification

Essential

  • Previous experience in a receptionist, front-of-house or customer service role.
  • Excellent communication and interpersonal skills.
  • Professional, approachable and confident manner.
  • Strong organisational skills with excellent attention to detail.
  • Good IT skills, including Microsoft Office.
  • Ability to prioritise workload and remain calm in a busy environment.
  • A positive, flexible and reliable approach to work.

Desirable

  • Previous experience working within a legal or professional services environment.
  • Experience handling new client enquiries or customer onboarding.
  • Experience using a case management system.
