Westminster Communities of Florida is seeking to hire a receptionist/administrative assistant to serve our Community Support Services office. This individual ensures a professional and welcoming first impression for all visitors and guests. The receptionist/administrative assistant performs a wide range of general office duties, including administrative and clerical tasks, and delivers secretarial support for special projects as assigned.

This position is responsible for:

COMMUNICATIONS:

  • Serve as the first point of contact for CSS by answering and directing telephone calls, greeting office guests professionally, and communicating clearly.
  • Take accurate messages and relay them promptly to the appropriate person or department.
  • Distribute incoming mail and keep mailbox labels accurate and up to date.
  • Review monthly office billing for accuracy, process invoices for approval, and coordinate repairs as needed.

GENERAL OFFICE:

  • Maintain a clean, orderly appearance in shared office areas, including the conference room, copy room, and reception area.
  • Order mailing supplies and processing courier and express mail invoices.
  • Order and maintain office supplies and process related invoices for payment.
  • Monitor copier performance and coordinate repairs as needed.
  • Maintain fax and postage machines to support daily office operations.

CLERICAL/SECRETARIAL:

  • Scan and organize documents and survey materials accurately and efficiently.
  • Provide clerical and secretarial support as assigned by the supervisor.
  • Assist with special projects by completing assigned tasks and supporting project coordination as needed.
  • Perform other related duties as assigned to support CSS operations.

Qualifications:

Education:

  • High school and college/vocational/technical training
  • Equivalent educational and work experience for a business environment

Experience:

  • Demonstrate excellent telephone etiquette and professional greeting skills.
  • Use telephone systems and general office equipment effectively in daily operations.
  • Communicate clearly and professionally with individuals of varying ages and hearing capabilities.
  • Apply basic computer skills, including Microsoft Office suite (i.e. Word, Excel, Outlook, etc.)
  • Maintain accuracy, attention to detail, and a deadline-oriented approach to assigned work.
