Receptionist | Administrative Assistant

SERVPRO of Lake Geneva

Pay Range: $16-$18/hour
Schedule: Monday-Friday, 8:00 AM - 5:00 PM

A Day in the Life of a Receptionist at SERVPRO

No two days are exactly the same at SERVPRO, but that's what makes this role exciting.

Your day may start by answering calls from customers experiencing water damage, fire damage, or other property emergencies. You'll help gather information, create job records, schedule appointments, and connect customers with the appropriate team members. Throughout the day, you'll assist with customer communication, support office staff with administrative tasks, maintain accurate records, and help keep daily operations running smoothly.

Some days are calm and routine. Other days may involve increased call volume due to storms or emergency situations. The ideal candidate is someone who enjoys helping people, stays organized under pressure, and can juggle multiple priorities while maintaining a positive and professional attitude.

As the first point of contact for many of our customers, you play a critical role in creating a positive experience during what is often a stressful time in their lives.

Primary Responsibilities

  • Answer and direct incoming phone calls in a professional and courteous manner
  • Greet customers, vendors, and visitors entering the office
  • Assist with customer intake and job creation
  • Schedule appointments and coordinate calendars as needed
  • Maintain accurate customer and job records
  • Assist with data entry and document management
  • Support office staff with administrative and clerical tasks
  • Monitor and distribute incoming emails, mail, and deliveries
  • Assist with filing, scanning, copying, and organizing office documents
  • Maintain office supplies and notify management of inventory needs
  • Provide exceptional customer service while handling sensitive and often stressful customer situations
  • Assist with storm response activities and increased call volumes during emergency events
  • Maintain confidentiality of customer and company information
Required Skills & Experience

  • Minimum 1 year of administrative, receptionist, customer service, or office support experience preferred
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Excellent verbal and written communication skills
  • Strong customer service and interpersonal skills
  • Professional phone etiquette
  • Strong organizational skills and attention to detail
  • Ability to prioritize tasks and manage multiple responsibilities simultaneously
  • Ability to work independently and as part of a team
  • Experience in restoration, construction, insurance, or service industries preferred
  • Ability to successfully pass a background check
Physical Requirements

  • Ability to sit, stand, and walk for prolonged periods
  • Ability to lift and carry up to 25 pounds
  • Ability to push, pull, lift, and move office materials as needed
  • Ability to operate standard office equipment including computers, phones, printers, and scanners
Work Environment

  • Full-time position, in-person at SERVPRO of Lake Geneva
  • Typical schedule: 8:00 AM - 5:00 PM, Monday through Friday
  • Additional hours and storm assistance may be required during emergency response events
  • Fast-paced office environment supporting restoration, cleaning, and construction operations
  • Frequent interaction with customers experiencing property damage and emergency situations
