Job Description

Solterra Academy provides comprehensive special education for students aged 5 to 22 who require intensive intervention due to severe emotional, behavioral, cognitive, developmental, and/or learning challenges. We are committed to fostering a supportive, developmentally appropriate, and individualized learning environment that promotes each student’s academic growth and personal success.

Are you organized, welcoming, and detail-oriented? Solterra Academy is seeking a Full-Time Administrative Assistant / Receptionist to serve as the first point of contact in our Main Office while providing essential administrative and admissions support. This role is ideal for someone who thrives in a fast-paced, mission-driven school environment and enjoys supporting students, families, and staff.

Schedule: Monday to Friday, 7:00 AM – 3:30 PM (In-Person)
Starting Hourly Rate: $20.00, commensurate with experience

Please note: This position requires a year-round commitment, including both the regular school year and our summer session. We do not offer summer-only employment.

Requirements

  • Greet, screen, and direct visitors to ensure a safe and secure school environment
  • Answer and route incoming phone calls and respond to routine inquiries
  • Accept and distribute mail, packages, and deliveries
  • Maintain organization of the mailroom and ensure office forms are stocked
  • Collect Attendance, make calls to parents regarding student absences, and enter absence data into the database
  • Collaborate with administration to ensure Main Office coverage when needed
  • Immediately report student safety concerns or staff misconduct to administration
  • Enter initial student referral information into the intake database
  • Proof and prepare intake packets and student binders
  • Upload referral materials to secure electronic systems
  • Scan, fax, and file admissions-related documentation
  • Archive completed intake folders according to policy
  • Collaborate with HR to maintain accurate staff calendars
  • Assist in creating and distributing school-wide event flyers
  • Ensure timely communication with families, staff, and transportation partners
  • Demonstrate cultural sensitivity and professionalism in all interactions
  • Support filing of behavioral incident reports as needed
  • Serve as backup for restraint/seclusion data entry when required
  • Accurately log documentation and ensure timely submission

  • Adhere to all school policies and state/federal regulations

Requirements

  • High School Diploma or GED required
  • Associate’s or Bachelor’s degree preferred
  • 2–3 years of relevant administrative or receptionist experience
  • Proficiency in Microsoft Word, Outlook, and Excel required
  • Experience in a school or special education setting preferred

Solterra Academy is a therapeutic day program providing comprehensive special education services to students, ages 5 to 21, who require intensive intervention due to emotional, behavioral, cognitive, developmental, and/or learning problems. Disabilities served include: Autism Spectrum Disorders, Developmental Disabilities, Emotional Disturbance, Intellectual Disabilities, Multiple Disabilities, Specific Learning Disabilities, Traumatic Brain Injury and Other Health Impairments.
