Receptionist
Xiente | Philadelphia, PA $17.35 per Hour | Full-Time | In-Person

Xiente is seeking a professional, friendly, and highly organized Receptionist to serve as the welcoming face of our organization. As the first point of contact for clients, families, community partners, and visitors, this role is vital in creating a positive experience while helping individuals access services that support economic mobility and family stability.
The ideal candidate is bilingual in English and Spanish, has previous receptionist or customer service experience, enjoys working with diverse populations, and is committed to providing exceptional service in a fast-paced nonprofit environment. What You'll Do
Front Desk & Customer Service
- Serve as the first point of contact for clients, visitors, and community partners.
- Greet all visitors in a professional, friendly, and welcoming manner.
- Answer and manage a multi-line phone system and direct calls appropriately.
- Respond to inquiries and provide accurate information regarding Xiente programs and services.
- Maintain a clean, organized, and professional reception area.
Client Support
- Assist clients with check-in procedures, appointment scheduling, and intake documentation.
- Help connect community members to the appropriate program staff and resources.
- Communicate effectively with English and Spanish-speaking clients and families.
- Provide excellent customer service while maintaining professionalism, confidentiality, and cultural sensitivity.
Administrative Support
- Perform data entry, filing, scanning, copying, and document preparation.
- Manage incoming and outgoing mail, packages, and correspondence.
- Maintain accurate records and client information.
- Assist with scheduling and general administrative duties across departments.
- Monitor office supplies and coordinate replenishment as needed.
Program & Team Support
- Assist staff with workshop preparation, community events, and special projects.
- Support attendance tracking and record maintenance.
- Collaborate with program teams to ensure efficient daily operations.
- Contribute to a positive and team-oriented work environment.
Requirements
Required Qualifications
- High School Diploma or GED required.
- Minimum of one (1) year of receptionist, front desk, administrative support, or customer service experience.
- Bilingual (English/Spanish) required. Must be able to communicate effectively with clients and families in both English and Spanish, including scheduling appointments and providing information in person and by phone.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Ability to remain professional and welcoming while managing multiple tasks.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
- Ability to work independently and collaboratively in a fast-paced environment.
- Commitment to serving diverse communities with dignity, respect, and professionalism.
- Availability to work full-time, Monday through Friday, 9:00 a.m. to 5:00 p.m.
Preferred Qualifications
- Experience working in a nonprofit, social services, workforce development, healthcare, education, or community-based organization.
- Experience managing high-volume phone calls and appointment scheduling.
- Familiarity with databases, client management systems, or electronic records.
- Experience working with diverse populations and multilingual communities.
