Job Description

Hot Water Heat Pumps has been designing and building heat pump water heating systems in West Auckland since 1982. They are New Zealand-owned and still run by the founding family, with a team of 25 across the office, engineering, and manufacturing. They produce heat pumps for homes, pools, spas, and commercial sites nationwide, and export to Australia, the USA, Singapore, and the Pacific.

We are looking for a Receptionist for their Henderson office. It is a varied role where you are the first point of contact for the customers, dealers, and suppliers; you enter orders and service jobs accurately and keep their marketing and social media ticking along. The hours are Monday to Friday, 8.00 am to 4.30 pm.

What You'll Do

• Answer and direct incoming calls, greet visitors, customers and suppliers, and be the friendly first point of contact for the business

• Enter customer orders and service jobs accurately into the system

• Prepare and send quotations, order confirmations and general correspondence, and keep customer records and databases up to date

• Coordinate couriers, deliveries and mail, and keep the office stocked and running

• Support the sales team, follow up on enquiries and get product information out to customers

• Help prepare marketing material and keep Facebook, LinkedIn, Instagram and Google Business pages current

About You

• Reception or front-of-house experience, with a warm and professional phone manner

• Accurate and detail-focused, you take care with order entry, because what you type reaches the customer

• Confident with Microsoft Office, and quick to pick up a new system

• Confident enough to handle a phone call, a walk-in and an order in the same ten minutes without dropping the ball

• Comfortable creating content using Facebook, LinkedIn, Instagram and Google Business

• Practical, helpful, and happy to pitch in across a small team

• A full NZ driver licence is useful for the occasional post run, but it is not essential
