Alamo Group's Corporate Headquarters is currently located in Seguin, TX but we will be making the move to a brand-new office located in New Braunfels, TX by the end of this year.
Qualifications
Alamo Group Inc. is accepting applications to fill a Receptionist position at its Corporate Headquarters in New Braunfels, TX.
The Receptionist serves as the first point of contact for visitors, employees, vendors, and callers at the Corporate Office. This position is responsible for maintaining a professional, welcoming, and organized reception area while providing receptionist and general office support. In addition to front-desk responsibilities, the Receptionist provides support to the Accounts Payable (AP) and Accounts Receivable (AR) functions, including administrative and transactional duties as assigned.
The successful candidate will demonstrate strong customer service, communication, organizational, and multitasking skills while maintaining confidentiality and professionalism in a fast-paced corporate environment.
The Receptionist will:
- Greet and welcome employees, visitors, customers, vendors, and other guests in a professional and courteous manner.
- Serve as the primary point of contact for the Corporate Office reception area and maintain a welcoming, organized, and professional environment.
- Answer, screen, and direct incoming telephone calls; take accurate messages and provide general information as appropriate.
- Manage visitor sign-in procedures and coordinate visitor access in accordance with Company security and safety requirements.
- Notify employees of visitor arrivals and assist with coordinating meetings, appointments, and conference room needs.
- Receive, sort, distribute, and process incoming mail, packages, deliveries, and other correspondence.
- Coordinate outgoing mail, shipping, courier services, and package pickups as needed.
- Maintain office supply inventory and assist with ordering and distributing supplies.
- Provide general office and administrative support, including document preparation, filing, data entry, copying, scanning, and record maintenance, as assigned.
- Assist with coordinating office events, meetings, employee activities, and other Corporate Office functions, as assigned.
- Provide administrative support to the Accounts Payable and Accounts Receivable teams, including:
- Entering, reviewing, organizing, or maintaining financial and vendor-related information.
- Assisting with invoice processing, documentation, coding, routing, and record retention.
- Supporting customer or vendor account documentation and correspondence.
- Assisting with payment, billing, or account-related administrative activities.
- Researching and resolving routine discrepancies or directing issues to the appropriate team member.
- Maintain accurate and organized electronic and paper files in accordance with Company record-retention practices.
- Handle sensitive employee, customer, vendor, and financial information with discretion and confidentiality.
- Assist with special projects and other receptionist, office-support, AP, AR, or administrative duties as assigned.
The ideal candidate will have/be:
- Knowledge of professional receptionist, customer service, and general office administration practices.
- Basic knowledge of Accounts Payable (AP) and Accounts Receivable (AR) processes is preferred.
- Strong verbal and written communication, customer service, and interpersonal skills.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Proficient in Microsoft Office applications, including Outlook, Word, and Excel.
- Ability to use a 10-key calculator accurately and perform basic mathematical calculations.
- Ability to accurately enter and maintain data and records with strong attention to detail.
- Ability to interact professionally with employees, visitors, customers, and vendors.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Ability to work independently and collaboratively in a fast-paced office environment.
Education and Experience:
- High school diploma or equivalent. Associate degree or coursework in Business Administration, Accounting, Finance, or a related field preferred.
- Minimum of 3 years of progressively responsible experience in a receptionist, administrative support, customer service, accounting support, or similar office-based role.
- Experience working in a professional office environment and interacting with employees, visitors, customers, vendors, or other external contacts.
- Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
- Prior experience supporting Accounts Payable, Accounts Receivable, bookkeeping, invoicing, billing, or financial recordkeeping preferred.
- Experience using an ERP (JD Edwards), accounting, or financial-management system.
Working Conditions:
Work performed in an office environment, with frequent sitting for extended periods of time and occasional lifting of 10 pounds independently; and stooping, reaching, and/or bending to perform accounting clerical/filing requirements.
