USNR is seeking a Receptionist / Administrative Assistant to serve as a first point of contact for employees, customers, vendors, and visitors at our Jacksonville, FL location. This role is responsible for managing multi-line phone systems, greeting visitors, and providing clerical and administrative support to internal teams in a professional, welcoming, and organized office environment.

The successful candidate will support various departments through administrative tasks such as filing, data entry, document preparation, meeting room scheduling, supply support, and customer call routing. This position requires strong communication skills, reliability, attention to detail, and a friendly, service-oriented approach.

Essential Duties and Responsibilities

  • Process incoming phone calls, transfer callers to the appropriate individuals, and provide information as needed.
  • Welcome and greet visitors in person and/or by phone, answer questions, and direct visitors to the appropriate person while creating a positive first impression.
  • Support various departments with administrative tasks, including filing, data entry, and document preparation.
  • Manage the reservation and scheduling of meeting rooms for internal and external meetings or events.
  • Handle service-related phone calls by assisting customers and directing inquiries to the appropriate department or personnel.
  • Maintain a professional, organized, and customer-focused front office environment.
  • Use standard office equipment and administrative tools, including computers, phones, printers, copiers, and related systems.
  • Interact professionally with employees, visitors, vendors, and customers throughout the workday.
  • Maintain confidentiality when handling employee, customer, and business information.
  • Perform other duties as assigned.

  • One to three years of experience managing multi-line phone systems preferred.
  • Previous experience as a Receptionist/Administrative Assistant or in a similar role preferred.
  • Experience ordering supplies preferred.
  • Experience with ERP systems a plus.

Work Environment and Physical Requirements

  • This position operates in a professional office and manufacturing environment.
  • The employee is regularly required to talk or hear and frequently sits, stands, walks, uses hands to finger, handle, or feel, and reaches with hands and arms.
  • The employee may occasionally lift or move office supplies, promotional items, uniforms, or other materials as needed.
  • Standard hours and days f work are determined by the business location and operational needs. Occasional work outside normal business hours may be required based on business needs.
  • This position is not expected to travel.
