About the role:

Support the Administration Team with all reception and client service-related tasks. This position is Monday to Friday, from 8:30am to 5:00pm.

Key Responsibilities

  • Collating and preparing client documentation, including binding for appointments, coordinating mail-outs or distributing documents via Adobe Sign for electronic execution
  • Providing general administrative support including typing, printing, scanning and document handling using Microsoft Office (Word, Excel, Outlook)
  • Managing incoming and outgoing mail, including sorting, recording and distributing items accurately
  • Front of house reception, providing a professional, friendly, and engaging first point of contact for clients and visitors
  • Answering, screening and directing phone calls, including handling general enquiries where appropriate and forwarding more complex matters to the relevant staff member
  • Coordinating meeting room bookings via Outlook and ensuring rooms are clean, presentable, and set up with required IT (e.g. Microsoft Teams, screens, audio)
  • Maintaining meeting rooms, including basic troubleshooting of IT equipment, and ensuring rooms are always ready for use
  • Organising client refreshments and assisting with catering for meetings, lunches, and office events
  • Overseeing office deliveries and ensuring items are received and distributed promptly
  • Managing and maintaining reception services and ensuring smooth day-to-day front office operations
  • Undertaking ad-hoc administrative duties as required, demonstrating the ability to use initiative and think independently with strong attention to detail

About you:

EDUCATION REQUIREMENTS:

Essential

  • Completion of Year 12

DEMONSTRATED EXPERIENCE & ATTRIBUTES:

Essential

  • Previous experience in a similar role
  • Proven experience with Microsoft Office Suite (excel, outlook, word, teams)
  • Excellent attention to detail
  • Positive ability to work as part of a team
  • Professional presentation required at all times
