  • Answer, screen and forward a high volume of calls and maintain a rapid response rate according to agreed standards.
  • Take and deliver messages accurately and timeously.
  • Order and maintain relevant office supplies for effectiveness of personal duties.
  • Establish and maintain effective working relationships with co-workers, supervisors, and the general public.
  • Maintain regular consistent and professional attendance, punctuality, personal appearance, and adherence to relevant health and safety procedures.
  • Responsible for all Travel Arrangements such as flights, car hire and accommodation, for all John Crane South Africa personnel, in line with authorization procedure.
  • Obtain Momentum Medical Aid International Travel documents for all employees’ international travel, where necessary.
  • Organizational ability – arranging events, meetings, conferences locally and internationally.
  • Attending conferences as an assistant to the GM
  • Taking minutes at management and other critical meetings
  • Arranging refreshments and lunches for visitors
  • Answering calls and liaising with clients competently
  • Preliminary drafting of correspondence on behalf of the GM
  • Calendar and diary management
  • Conducting research
  • Preparing presentations
  • Coordinate and consolidate weekly/monthly/annual reports
  • Managing and reviewing filing and office systems, including SAP control file.
  • Typing documents
  • Managing ad-hoc projects
  • Overtime worksheets consolidate for approval
  • Follow through on signatures for Capex.
  • Present documents for signature.
  • Any other reasonable request from the manager.

Qualifications

  • Minimum: Matric certificate
  • Minimum of 5 years’ experience at executive management assistant level
  • Ideal: Business Administration degree (or studying towards a public relations or business administration degree) is advantageous.
  • High level of Computer Literacy
  • Expert knowledge of MS Word, Excel and PowerPoint
  • Extensive knowledge of travel, meeting and conference arrangements
