Job Description

The Receptionist is responsible for all operations at the front desk in support of all Victory Program clients / members accessing services at 29 Stanhope Street. This includes BLC members, Community Based Housing clients and clients accessing Harm Reduction supplies.

Location: Victory Programs at 29 Stanhope Street operate several programs:

The Boston Living Center is a non-residential community center/resource program in Boston's Back Bay for individuals living with chronic health conditions (e.g. HIV/AIDS), substance use disorder, those experiencing homelessness, food insecurity and/or those at risk of experiencing street based trauma.

Victory Programs’ Community Based Housing provides intensive housing search, housing advocacy, and stabilization services to families and individuals experiencing homelessness and unstable housing situations. Keys to Home, Paths to Victory and the Rental Assistance Program is focused on the interconnection of housing and health. Our programs help families and individuals obtain permanent, safe housing solutions, increase self-sufficiency, and gain skills which support stability with housing and health.

Essential Functions:

  • Act in accordance with Victory Programs, Inc.’s Standards of Excellence & Philosophy Care always including maintaining professional ethics, boundaries and client confidentiality and working from a strength based.
  • Answer the main telephone line and transfer calls to appropriate staff.
  • Oversee the signing in of members/ clients, volunteers and visitors, and give necessary directions and information.
  • Provide information to members / clients and potential members / clients, regarding all Victory Programs’ services at 29 Stanhope Street.
  • Facilitate internal referrals for members and clients to appropriate resources and staff.
  • Support case management team with scheduling, referrals, reminders and follow up, as well as collateral contacts as requested.
  • Assist with written communication and documentation of services provided as need be.
  • Oversee the operation and security of the coat/bag check room.
  • Handle all incoming and outgoing deliveries—notifying parties of deliveries and documenting deliveries appropriately.
  • Maintain a pleasant appearance at the desk and ensure a clear work area.
  • Oversee opening and closing procedures for the BLC facility.
  • Receive and sort all incoming mail for VPI staff and 29 Stanhope tenants.
  • Assure that all front desk policies/procedures are being followed at all times.
  • Provide program support, including but not limited to harm reduction supply distribution and milieu engagement.
  • Engage in relationship building, Nonviolent Crisis Intervention, Motivational Interviewing and conflict de-escalation as needed in the milieu space.
  • Remain in good standing with agency and funder required trainings, including any maintenance licensing certifications required for position.
  • Attend weekly supervision, monthly staff meetings, and periodic professional development training and workshops as requested by the supervisor.
  • Participate and support the agency in program events, State House rallies, fundraising and advocacy events, rallies, walks and any additional functions.
  • Perform any other duty or task that may be requested by a supervisor or the Program Director.
  • Represent Victory Programs, Inc. in external meetings, as requested.

Essential Qualifications:

  • GED or high school diploma.
  • Must be able to list 35 pounds.
  • Working knowledge of HIV/AIDS and viral hepatitis, homelessness, substance use, STIs, and sex work, mental health, as well as health-related social issues faced by persons who use drugs.
  • Experience working with diverse groups regardless of race/ethnicity, sexual orientation, gender identity, sex and drug cultures, age groups, religion, country of origin, disability and economic status.
  • Ability to work independently and cooperatively as a member of a professional team.
  • Professional telephone manner.
  • Ability to deliver excellent customer service.
  • Reception or related experience preferred.
  • Strong computer skills, including Google office suites and Internet use.
  • Must be CPR certified (may be obtained upon hire)
  • Completed TB screening (may be obtained upon hire)
  • Three work related professional references; at least 2 from manager or supervisor.
  • Ability to work independently and cooperatively as a member of a professional team.

Position Type: Monday - Friday (40 hours), Monday: 10am-6:30pm Tuesday-Friday: 7:30am-3:30pm. On site.

Rate: $23.32/hr

Victory Programs offers a generous paid time off package to employees working 20+ hours a week including vacation, sick, and personal time as well as holidays. Upon hire, employees working 20+ hours a week are entitled to up to: 4 personal days, 160 sick hours, 10 holidays and 3 1/2 weeks of vacation. These figures adjust based on full time or part time status and allocated vacation time increases with length of employment.
