About the Position

The Receptionist greets and directs visitors, answers questions and provides direction to office locations, managing the flow of traffic in the office. Performs a variety of administrative support and clerical tasks to include answering phones, routing calls and taking messages. Prepares meeting and training rooms, maintains supplies, sorts and distributes mail and coordinates office activities.


Key/Essential Functions & Responsibilities

  • Greets visitors entering the office with a positive, helpful attitude; announcing as necessary and directs to the appropriate party and office.

  • Maintains office security by following safety procedures, controlling access via the reception and maintains visitor logs of who is entering and exiting the office.

  • Answers and screens phone calls in a timely and professional manner; direct calls to appropriate parties.

  • Utilizes electronic building access system to enter visitor information and generate visitor passes.

  • Maintains the reception area, keeping it clean and free of clutter.

  • Schedules and/or confirms appropriate conference rooms for meetings using Outlook calendar as requested.

  • Assists with replenishing supplies in the break rooms as needed.

  • Receives, sorts and prepares Residential Mail for distribution.

  • Assists colleagues with administrative tasks; completes filing, copying, scanning and/or data entry as requested.

  • Performs all other duties as assigned.

Minimum Qualification Requirements including education, experience, licensure/certification, etc. and essential physical capabilities (e.g. lifting, assisting lifting, standing, etc.)

  • High School diploma or its educational equivalent and six (6) months experience working as a receptionist or performing receptionist and/or clerical duties in an office environment, or

  • Satisfactory combination of education, experience and/or training.

  • Basis knowledge of Microsoft Word and proficiency with Outlook.

  • Strong customer service skills and professional phone manner.

  • Ability to multi-task with demonstrated time-management skills and the ability to prioritize tasks.

Compensation:

  • $17.00/hour
