Job Description

Receptionist

The Receptionist serves as the first point of contact for residents, guests, and vendors within the high‑rise community. This role combines front‑desk reception, administrative support, and coordination of work orders and service requests. The Receptionist maintains a visible, professional presence in the lobby, supports day‑to‑day building operations, and plays a key role in ensuring residents and visitors experience a welcoming, safe, and well‑organized environment.

Compensation

$18 to $20.00 hourly rate; direct experience is highly considered.

Reception & Resident Services

  • Greet residents, guests, and visitors courteously and professionally.
  • Serve as the primary front‑desk contact for general inquiries, directions, and basic building information.
  • Maintain a calm, approachable, and attentive presence at the reception desk at all times.
  • Provide a high level of customer service to residents while upholding community policies and procedures.

Administrative Support & Work Order Coordination

  • Provide general administrative assistance to property management, including data entry, document handling, and record updates.
  • Receive, log, and track resident service requests and maintenance work orders using established systems and procedures.
  • Communicate work order details to maintenance staff or vendors and assist with follow‑ups as needed.
  • Maintain accurate records of completed, pending, and escalated service requests.
  • Assist with preparing reports, notices, or routine correspondence as requested by management.

Access Control & Monitoring

  • Monitor entry and exit activity in the lobby to help ensure only authorized individuals access the building.
  • Verify guest sign‑in, resident permissions, and vendor access in accordance with HOA policies.
  • Coordinate vendor access related to scheduled maintenance or approved work orders.
  • Observe and report suspicious, unsafe, or unauthorized activity to management or security as appropriate.

Day‑to‑Day Lobby Operations

  • Support daily lobby operations by maintaining awareness of building activity, scheduled move‑ins/outs, deliveries, and work order schedules.
  • Coordinate with property management, maintenance, concierge, or security staff as needed.
  • Assist with logging visitor activity, package notifications, deliveries, and service requests.
  • Monitor lobby condition and report cleanliness, safety, or maintenance concerns promptly.

Communication & Support

  • Communicate clearly and professionally with residents, staff, vendors, and management.
  • Respond to routine inquiries and route residents or vendors to the appropriate department or resource.
  • Escalate work order delays, resident concerns, or emergency situations according to established procedures.

Qualifications

Qualifications & Skills

  • High school diploma or equivalent required.
  • Previous experience in customer service, front desk, concierge, hospitality, or residential property environments preferred.
  • Strong interpersonal and communication skills.
  • Ability to remain attentive, composed, and professional in a high‑visibility role.
  • Basic computer or log‑keeping skills preferred.
  • Reliable, punctual, and able to work independently.

Work Schedule & Environment

  • On‑site position within a residential high‑rise lobby.
  • May require standing or sitting for extended periods.
  • Shifts may include evenings, weekends, or holidays, depending on community needs.

Physical & Other Requirements

  • Ability to sit or stand for long periods.
  • Ability to observe lobby activity and respond quickly when needed.
  • Must maintain a neat, professional appearance consistent with HOA standards.
