As the Receptionist at Abacus Medicine’s Copenhagen Headquarters, you will be the first point of contact for visitors, partners, and colleagues – creating a welcoming and professional first impression. You will ensure smooth daily operations by taking a flexible and proactive approach, stepping in to support different tasks as needed, especially when team members are absent due to illness or vacation. This could include managing the front desk, handling calls, coordinating schedules, supporting teams across the organization, and assisting with meeting services and other practical needs. Your role is key to keeping everything running seamlessly.

Together with three colleagues, you will welcome guests, manage incoming communication, and support the daily flow of activities. This role involves close collaboration with the Facility Management team to support efficient office operations and maintenance.

As our Receptionist, you will be the friendly first point of contact in our office and play a key role in keeping everything running smoothly.

Your main responsibilities will include:

• Serve as a welcoming first point of contact while flexibly supporting office and team needs

• Ensuring a tidy and welcoming reception area and office environment

• Managing incoming and outgoing phone calls, mails and postal processes

• Receiving and organizing incoming orders and packages, including handling heavy items

• Handling taxi requests and coordinating with external service providers, including carpentry or maintenance visits.

• Assisting with meeting room bookings and resolving scheduling conflicts

• Collaborate with the kitchen regarding catering for both employees and external guests

• Coordinate and distribute various employee gifts and flowers for special occasions

• Helping prepare and execute office events

• Monitoring and replenishing office supplies, and supporting minor maintenance tasks around the office

• Support various team tasks as needed, stepping in during holidays or absences to ensure daily operations run smoothly.

• Performing ad-hoc tasks to support the office and colleagues

Fuel for your success in the role

We imagine that you bring:

• Secondary education or equivalent

• Fluent in Danish and English with excellent verbal and written communication skills

• Professional and friendly approach, with a focus on providing an exceptional first impression

• Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)

• Previous experience in a receptionist, customer service, or administrative role is strongly preferred

• Excellent organizational skills with the ability to efficiently manage multiple tasks while adapting flexibly to changing priorities.

• Dedicated and service-minded, delivering excellent support and assistance to colleagues, clients, and visitors

• Willingness to assist with occasional heavy lifting, such as grocery deliveries, event materials, office supplies ect.

• Good problem-solving abilities and a proactive approach to challenges

• A flexible, team-oriented mindset with a willingness to step in and support across roles when colleagues are absent, ensuring smooth operations.

• Ability to work independently as well as collaboratively within a team

• Comfortable managing confidential information with discretion
