The opportunity

We are seeking a Reception Officer to join our team at the Australian Centre for Disease Preparedness (ACDP) in Geelong.

In this front-of-house role, you will be responsible for monitoring site access, welcoming visitors, managing reception services and providing administrative support, to enable smooth operations at a high-containment national science facility.

As a Site Attendance Officer (SAO), you'll manage visitor access, coordinate security processes, operate the site access control system and act as a key point of contact for staff, contractors and visitors. You'll also support day-to-day administrative activities and contribute to maintaining a safe, secure and professional environment.

This is a part-time position working 50 hours per fortnight as part of a two-person SAO team covering weekday shifts between 7:45am and 5:30pm.

Your high-level duties will include:

  • Monitoring and managing real-time site access for visitors, contractors and deliveries.
  • Issuing visitor access cards and conducting basic site inductions.
  • Managing the main reception and switchboard for internal and external enquiries.
  • Supporting visitor security and access requirements.
  • Conducting formal shift handovers and maintaining accurate site records.
  • Providing administrative support, including records management and document uploads.
  • Coordinating vendor and trade display visits to site.
  • Working collaboratively with internal stakeholders to deliver excellent customer service.

Salary: AU$61k - AU$73k pa +15.4% superannuation (pro-rata for part-time)

Tenure: Specified term of 12 months, Part-time (25 hours per week)

As the successful candidate, you will bring:

  • Experience working in an administration role or similar.
  • Sound written and oral communication skills, with the ability to interact professionally with a broad range of people at all levels.
  • Proven ability to undertake a variety of tasks in an environment with fluctuating periods of workload while meeting deadlines and adapting to new technology and/or procedural changes.
  • Proven ability to work with limited direction, determine priorities and operate both independently and as a member of a small team.
  • The ability to show initiative and work effectively in a team, positively contributing to the team environment.
  • Demonstrated experience with computers and Microsoft Office packages including Outlook, Word and Excel software applications.

Desirable Criteria:

  • Previous experience working as a receptionist in a large organisation.
