Are you highly organized, proactive and comfortable working with stakeholders at all levels?

Join Novo Nordisk’s Zurich office as our Reception & Office Coordinator and help keep our international hub running smoothly. This role combines reception duties facilities management, supplier negotiations, safety coordination in a dynamic, multinational environment.

The Position

Reporting to the Zurich office leadership, you will ensure day-to-day office operations are efficient, safe and welcoming. Key responsibilities include:

  • Reception & front-desk support: staff the reception area, answer phones and emails, greet visitors and provide general administrative support.
  • Facilities & supplier management: handle office invoices, place and track orders, and manage relationships with facility vendors.
  • Maintain office maintenance tasks, structure and document processes, proactively track deadlines and drive follow-up actions.
  • Meeting support: coordinate meeting rooms, refreshments and catering for internal and external meetings, liaising with executive assistants and external catering partners.

Qualifications

  • Experience in multinational organisations and working with multicultural teams.
  • Fluency in English and German (spoken and written).
  • Confident interacting with senior stakeholders.
  • Service-minded, flexible, and accountable with a positive attitude.
  • Proactive, self-organised and able to prioritise and deliver high-quality work independently.
  • Comfortable with multiple IT systems and quick to learn new tools; proficient in Microsoft Office.
