Job Description

We’re looking for a warm, proactive and super reliable Reception & Facilities Coordinator to be the face of our York St office. You’ll create standout first impressions, keep the office running smoothly, and bring a calm, can-do energy to everything you do.

If you’re organised, people-focused and love being the go-to person who makes things happen - this role is for you.

What you’ll do

  • Keep reception looking sharp, stocked and running smoothly each day
  • Be the first point of contact - welcoming visitors with a friendly, professional approach
  • Manage our Visitor Management System (VMS) and guest passes
  • Deliver exceptional customer service in every interaction
  • Coordinate office and kitchen supplies (ordering and stock levels)
  • Manage calls, mail and couriers efficiently
  • Log and triage maintenance issues, supporting quick resolution
  • Support facilities admin (purchase orders, invoices, compliance)
  • Complete daily floor walks to ensure spaces are set up and ready to go

In this highly connected role at the heart of the office, you’ll build strong relationships and gain exposure across different teams.

This opportunity has become available due to an internal promotion and is a great springboard for those interested in future opportunities – previous Event Coordinators have moved into EA roles, Marketing, P&C and beyond.
