Resumen
The Administrative Assistant / Receptionist will perform diversified administrative tasks to directly support daily activities for specific Beer Division Vice-presidents and will provide administrative support to the Office Supervisor on the reception and activities for Mexico City office. This role will provide administrative support as a team member of several office assistants.
Responsabilidades
1. Elaborate administrative activities such as: expense reports, handling agenda, booking hotel and flight reservations. Manages international and national travels including commercial aircraft, corporate flights, planning, coordinating, scheduling, and executing travels.
2. Responsible of the front desk that manages 2.5 floors for 200+ employees. Performance includes physical mail delivery (by FEDEX), proper management documentation, attend and guide visitors, answered office phone and transfer calls.
3. Responsible for the administration of the “entrance-Card” program for employees in Mexico City office. Print and deliver all cards for employees. Maintain an updated directory.
4. First contact for the building Administration to manage vendor entrance, merchandising exit and requests for parking tickets.
5. Prepares meeting invites and works with contacts in other company locations to ensure meetings and events are planned and well executed. Coordinates meeting agendas, schedules and prepares materials for meetings. Manages calendars, schedules appointments, and manages conference room and meeting reservations for his or her clients.
6. Responsible for word processing, document creation, drafting correspondence, spreadsheet design and maintenance. Investigates and conducts research based on business needs.
7. In charge of Product Allowance program execution for Mexico City employees. First contact with suppliers, to place new orders and facilitate invoices.
8. Support Facilities Supervisor in daily activities for the office, contact with suppliers and follow up for payment of invoices.
9. Clerical responsibilities including filing, photocopying and requesting stationery supplies. Cross-trains in other administrative functions and covers for other administrative staff as needed.
10. PO creation for all facilities services: maintenance, FEDEX, PLANT IT, Cleaning Services, Building Rental, etc.
