PURPOSE:

The lead clerk is responsible to lead the of team clerks in their day to day tasks of the receiving/shipping office while actively working alongside and ensuring accuracy of entries.

Receiving

  • Coordinates receipt of incoming raw materials & indirect (RMO) supplies, rejects damaged items, records shortages, and corresponds with shipper to rectify damages and shortages
  • Monitors identifying information, counts, weighs, or measures items of incoming and outgoing shipments to verify information against bills of lading, invoices, orders, or other record are accurate.
  • Actively participates in the goods receiving process in addition to lead role responsibilities
  • Controls RMC’s and release updates for final labeling of materials
  • Executes the vendor returns process within the ERP system
  • Works in collaboration with Finance team to address receiving/invoicing discrepancies.
  • First level support to resolve receiving issues or constraints
  • Maintains error/issue reporting and supports KPI publishing

Shipping

  • Determines method of shipment for all small package and palletized freight. (Fed-Ex, freight carrier)
  • Schedule freight pickup with carrier and examines outgoing shipments to ensure shipments meet specifications. (Wrap, palletize, and crate product).
  • Create shipping documents for freight shipments.
  • Proper packaging & labeling of shipments
  • Communication of relevant tracking information to stakeholders

Waste Stream/Recycling

  • Scheduling dumpster and compactor pickups/swaps, and maintain the Pickup Log
  • Maintain RCRA certification
  • Labeling of Chem waste (vendor labels) in preparation for pickups
  • Responsible to maintain accurate document control of waste manifests
  • Primary POC for control of scrap activity.
  • Scrap Vendor scale/weight tickets, packing slips and other related documents
  • Scrap ticket submission

General

  • Complies with plant safety procedures and actively engages to promote a safe working environment.
  • Responsible for 5S of office and main (west) dock areas
  • Operates various material handling equipment (lift trucks, pallet jack, cart, hand truck, etc.) to move materials from shipping and receiving platform to storage or work area.
  • Maintains inventory of shipping materials and supplies.
  • Completes shipping and receiving reports as necessary.
  • Promote, Support & implement continuous improvement activities within Supply Chain and Production to reduce bottlenecks and manufacturing throughput time.

Expected Results:

  • Ensure accurate records & inventory postings in timely manner (adheres to backlog requirements).
  • Provide tactical direction for clerk team
  • Solve and/or escalate issues within the administrative receiving & shipping processes
  • Compliance to all company policies and directives

Compencies & Qualifications:

  • 3-5 yrs experience in receiving/shipping or accounts payable teams - preferably in a manufacturing environment
  • High school diploma or equivalent
  • Prior leadership experience preferred (senior role, team lead or supervisor)
  • Forklift experience required, and willingness to learn additional equipment.
  • Must be able to handle physical heavy lifting up to 50 pounds
  • Position requires standing/walking 30%, operating material handling equipment 20%, & sitting at desk 50%
  • Must be able to clearly and concisely communicate with employees and vendors
  • Must be able to work overtime (weekends, nights and holidays) as needed (Rotating Saturday coverage)
  • Good computer systems knowledge including Microsoft Office suite (Excel, Word, PowerPoint, Outlook
  • Strong experience in SAP MM, SD & LE modules or similar ERP system (Oracle, JDE, etc)
  • Experience in the Ariba ordering/receiving system
