Position Summary
We are looking for a Receiving Coordinator to support and coordinate the accurate receipt, documentation verification, and routing of inbound materials, parts, and products within a manufacturing environment. This role will be responsible for overseeing daily receiving activities while helping develop and implement structured receiving processes, procedures, and controls as the organization continues to grow.
The Receiving Coordinator will work cross-functionally with Purchasing, Quality, Planning, and Warehouse teams to ensure inbound materials are properly documented, traceable, and routed to the appropriate locations. This role is critical in establishing an organized receiving function that supports inventory accuracy, material traceability, and production readiness.
Essential Duties and Responsibilities
- Coordinate daily inbound shipments from carriers and internal transfers to ensure efficient material flow into the facility
- Verify quantities, part numbers, revisions, and condition of incoming materials against purchase orders and packing slips
- Perform initial inspection of shipments for visible damage or discrepancies and escalate issues as required
- Ensure receiving transactions are completed accurately and in a timely manner within the ERP/MRP system
- Coordinate proper labeling, tagging, and identification of materials in accordance with company and quality system requirements
- Ensure received materials are routed correctly to receiving inspection, inventory stock locations, quarantine, or production areas
- Serve as a point of contact between Receiving, Purchasing, Quality, and Materials teams to resolve shortages, overages, or nonconformances
- Ensure supplier documentation such as packing slips, certificates of conformance, and traceability records are complete and filed according to company procedures
- Maintain organization and efficiency of receiving and staging areas to support material flow and traceability
- Support inventory accuracy initiatives including cycle counts, audits, and discrepancy investigations
- Assist in developing and implementing standardized receiving processes, work instructions, and material handling procedures.
- Assist in identifying opportunities to improve receiving processes, documentation flow, and material handling practices
- Ensure compliance with all company safety policies, ITAR regulations, and quality management system requirements
Required Qualifications
- High school diploma or equivalent required. Additional coursework in logistics, supply chain, or warehouse operations preferred.
- 5+ years of experience in receiving, warehouse operations, or material control in a manufacturing environment preferred.
- Experience using ERP/MRP systems (SAP, Oracle, or equivalent)
- Basic computer skills (data entry, email, spreadsheets)
- Strong attention to detail and accuracy
- Ability to read purchase orders, packing slips, and part labels
- Clear communication and ability to work cross-functionally
- Time management skills in a fast-paced environment
- Understanding of inventory control and warehouse best practices
Physical Requirements and Working Conditions
- Work performed in a warehouse/manufacturing environment
- Regular standing, walking, bending, and reaching
- Ability to lift and move materials up to 50 lbs., with or without assistance
- Frequent use of carts, pallet jacks, and other material handling equipment
- Exposure to moderate noise, forklifts, and warehouse traffic
- Occasional overtime or weekend work may be required
