Job Description

Job Title:  Receiving Clerk

Department: Procurement

Reports to: Assistant Director of Purchasing

The Receiving Clerk will be responsible for receiving purchase orders, applying invoices against purchase orders, and maintaining accurate and reconciled purchase orders and CAPEX records throughout the month and year.

Key Responsibilities:

  • Using the purchasing system in place on property, Coupa, accurately receive and invoice purchase orders across all departments.
  • Keep open communication and maintain excellent correspondence with department leaders about their open orders and order status.
  • Cross examines various inboxes for invoices (Outlook, and Coupa) and reconciles open PO’s.
  • Provide general department support in the way of ordering when required and other ancillary department tasks.
  • Participate in the month-end process – make sure open PO’s are reconciled and anything bought in the month for the month is handled responsibly.
  • Keep current and accurate records of tasks needing follow-up.

Qualifications & Requirements:

  • Must be at least 18 years of age to apply.
  • High School Diploma or equivalent required.
  • Strong listening, problem-solving, and communication skills both verbal and written.
  • Ability to be persistent and resourceful when searching for solutions.
  • Understanding of financial processes related to purchasing.
  • Strong attention to detail and accuracy when reviewing orders, invoices, and receiving documentation.
  • Strong organizational skills with the ability to manage multiple tasks and follow up throughout the week and month.
  • Proficiency with Microsoft Office, particularly Excel and Outlook.
  • Ability to accurately enter and maintain information in purchasing and financial systems.
  • Coupa experience is a strong plus.
  • Flexible work schedule, including weekends, evenings and holidays.
  • Must be able to speak and read English, additional languages a plus.
  • Ability to stand for long periods of time
  • Ability to lift, carry, push, or pull light objects.
  • Ability to tolerate exposure to busy or noisy work areas.
  • Ensure the safety and well-being of our guests.
  • Ability to work on a fun, fast-paced environment and manage changing priorities.
