As our Facilities Team Lead, you will be overseeing daily operations across various premises within the EMEA region, including maintenance, vendor coordination, safety, and site logistics to ensure a seamless, efficient, and welcoming workplace. You’ll lead a team, manage budgets, drive continuous improvement, and collaborate with HR, procurement, and global partners to deliver an exceptional employee experience.
What will your job look like?
• Lead a small team of site admins
• Serve as the primary contact for all facility-related matters
• Oversee and coordinate facility operations and logistics in line with company policies
• Manage and support special events across designated site(s)
• Collaborate with team members, contractors, and vendors to execute work plans and orders
• Partner with site leadership and HR to deliver an exceptional employee experience
• Schedule daily tasks for team members and ensure quality execution
• Lead and coordinate preventive and corrective maintenance activities
• Plan and monitor maintenance schedules to ensure timely completion
• Drive data analytics, generate reports, and provide actionable recommendations
• Conduct service quality checks and gather feedback for improvement
• Champion continuous improvement initiatives without compromising quality or cost
• Ensure timely validation of inventory and budget purchase requests (PRs)
• Process vendor invoice payments in accordance with Our Client’s procedures
• Implement and participate in safety protocols per EHS guidelines
• Analyse KPIs and leverage reports to optimise site operations
• Manage budgets and operational costs with a focus on ongoing efficiency
• Collaborate with procurement to ensure service contracts and KPIs are in place
• Oversee site security in alignment with global security standards
• Address facility-related needs, including refreshments and cleaning services
• Define vendor scopes and ensure service delivery meets expectations
All you need is...
• 5-7+ years of relevant experience
• Experience in Global Tech companies
• Fluent in German and English
• Experience with matrix management
• Hands-on experience with MS Office and Project management from planning to execution
• Customer service experience
• Experience with Real estate and operation contract understanding
