Job Details:
The (REMOTE) Real Estate Coordinator II provides administrative, transactional, and project coordination support for Mattress Firm's retail real estate activities. This role is responsible for supporting lease transactions, coordinating Real Estate Committee (REC) processes, managing transaction workflows, maintaining portfolio records, and facilitating communication among internal stakeholders, external counsel, landlords, brokers, and third-party partners. The coordinator plays a critical role in ensuring lease transactions, new store approvals, amendments, and portfolio initiatives are organized, documented, and executed efficiently. This position serves as a central resource for transaction administration, document management, reporting, and process coordination across the Real Estate department.
Essential Responsibilities
- Coordinate lease transaction administration for new stores, renewals, relocations, amendments, and other real estate initiatives.
- Prepare and manage Real Estate Committee (REC) materials, approval documentation, and transaction proformas.
- Partner with internal stakeholders to gather project budgets, signage estimates, and other information required for transaction review and approval.
- Manage transaction workflow from approval through lease execution, including legal coordination, document tracking, and contract administration.
- Coordinate document execution activities and maintain complete and accurate transaction records.
- Track portfolio metrics, third-party asset management savings, invoices, and recurring reporting requirements.
- Support cross-functional communication and process execution among Real Estate, Legal, Finance, Construction, Operations, and external partners.
- Identify and implement process improvements that enhance transaction management, reporting accuracy, workflow efficiency, and operational effectiveness.
- Support special projects and additional Real Estate initiatives as assigned.
- Oversee communications regarding the general Real Estate email boxes.
- Complete all required training modules and certifications prior to the due date.
- Ensure all safety policies and procedures are followed for a safe work environment for all.
- Communicate professionally with all internal and external contacts.
- Follow all Company policies and execute Company standards on appearance and functionality as well as appropriate brand representation.
- Communicate any concerns or issues to leadership to ensure proper efficiency of department and Company operations.
Non-Essential Responsibilities
- Develop and maintain templates, tracking tools, and standard operating procedures.
- Research historical lease transactions, portfolio information, and documentation as requested.
- Participate in department projects and continuous improvement initiatives.
- Miscellaneous filing for Real Estate.
- Execute Company initiatives and other activities requested by Supervisor.
- Update job knowledge by participating in educational opportunities.
- Contribute ideas on ways to optimize or improve the team, the department, and the Company.
Education
- Bachelor's Degree in Business, Real Estate, Finance, Operations, Project Management, or related field: Required OR
- Equivalent combination of education and relevant experience.
Professional Experience
- 3+ years of experience in Commercial Real Estate, Lease Administration, Portfolio Administration, Project Management, Transaction Management, or related field: Required
- Experience supporting a large multi-unit retail portfolio: Preferred
- Experience coordinating projects and managing multiple stakeholders across functions: Preferred
- Experience maintaining databases, trackers, reporting tools, or contract administration systems: Preferred
- Experience preparing executive presentations and recurring management reporting: Preferred
- Experience supporting lease renewals, closures, relocations, dispositions, or portfolio initiatives: Preferred.

- Familiarity with retail portfolio management processes: High
- Knowledge of project coordination and business process management principles: High
- Familiarity with lease administration systems, reporting platforms, or portfolio management tools: Preferred

Compensation:
Competitive pay range of $55,000 - $60,000 * depending on qualifications and experience. For eligible Leadership and individual contributor roles, additional bonus opportunities may be available and awarded at the discretion of the Company.
