About the Role

We are seeking a proactive and organised Real Estate Virtual Assistant to support the Director across administration, marketing, database management, property management, and sales operations. This role is ideal for someone who enjoys improving processes, supporting clients, and contributing to business growth.

Key Responsibilities

Sales Administration

  • Load and update property listings in Eagle CRM and advertising portals
  • Upload and organise property photos, floorplans, and marketing materials
  • Assist with drafting and refining property advertisements
  • Create sales brochures and marketing materials using Canva
  • Maintain listing accuracy across all platforms
  • Draft Form 6 appointments in Realworks
  • Assist with listing and contract administration

Database Management

  • Maintain and update client records
  • Create and manage follow-up campaigns
  • Build anniversary campaigns for buyers and sellers
  • Complete database clean-up projects
  • Create and maintain prospecting lists

Property Management Support

  • Process rental applications
  • Conduct reference checks and verify supporting documentation
  • Prepare lease documentation in Realworks
  • Assist with tenant onboarding administration
  • Upload and manage rental listings and marketing materials

Marketing & Brand Growth

  • Develop and schedule social media content
  • Assist with content creation for sales, property management, community engagement, brand awareness, and client education
  • Draft and schedule LinkedIn content
  • Create and publish Google Business Profile updates
  • Assist with review generation campaigns
  • Create brochures, newsletters, and social media graphics using Canva
  • Update website content and upload blog articles
  • Assist with SEO and website improvement initiatives

Systems & Process Improvement

  • Maintain workflows within Notion
  • Track tasks and workflow progress
  • Create and update business procedures, guides, and checklists
  • Identify opportunities for automation and process improvement
  • Support continuous improvement initiatives across the business
  • Client Relationship Management
  • Build and maintain client communication campaigns
  • Assist with database segmentation and organisation
  • Prepare newsletters and client communications
  • Support client retention initiatives

Reporting

  • Monitor social media performance
  • Track review generation activities
  • Report on database growth and engagement
  • Monitor workflow completion and marketing performance

About You

To be successful in this role, you will have:

  • Previous experience in real estate administration, property management, sales administration, marketing, or a similar role
  • Strong written and verbal English communication skills with excellent attention to detail
  • Experience using CRM systems, Canva, and social media platforms
  • Ability to work independently, take initiative, and improve processes
  • Experience supporting Australian real estate businesses is highly regarded
