The Clerical Supervisor oversees the daily administrative and clerical operations of a designated department or practice location. This role supervises front office and administrative staff, coordinates office workflows, and ensures efficient scheduling, documentation, and communication processes. The Clerical Supervisor supports operational efficiency, customer service standards, and compliance with organizational policies while assisting leadership with staff coordination and administrative functions.

Primary Responsibilities
• Supervise clerical and front office staff, providing guidance and support to ensure efficient daily operations.
• Coordinate administrative workflows including patient scheduling, registration, and front desk activities.
• Assist with onboarding and training of clerical staff and support ongoing staff development.
• Monitor administrative processes to ensure accuracy, completeness, and adherence to organizational policies.
• Support timekeeping, scheduling coordination, and staff coverage to maintain consistent office operations.
• Address routine administrative or patient concerns and escalate complex issues to the Practice Administrator or department leadership.
• Ensure clerical staff follow established procedures related to documentation, patient records, and information management.
• Assist with maintaining office supplies, equipment, and administrative resources necessary for daily operations.
• Promote excellent customer service by supporting a welcoming and professional environment for patients and visitors.
• Perform other duties as assigned to support the overall success of the department and organization.

Education & Experience
• High School diploma or equivalent required.
• Associate or Bachelor’s degree in Business Administration, Healthcare Administration, or related field preferred.
• 2–4 years of administrative or clerical experience, preferably in a healthcare or professional office setting
• Prior lead or supervisory experience preferred.

Skills & Competencies
• Strong organizational and administrative coordination skills.
• Excellent communication and customer service abilities.
• Ability to supervise and support clerical staff in a fast-paced environment.
• Proficiency in electronic medical records (EMR) systems and Microsoft Office Suite.
• Ability to prioritize tasks and manage multiple responsibilities effectively.

Working Conditions
• Work is primarily performed in a clinical office setting and involves frequent telephone and in-person communication with patients and staff.
• The role involves continuous engagement and interaction with others and may involve occasional or frequent interruptions.
• The work environment reflects typical conditions found in a medical practice, including exposure to standard clinical equipment, patient interactions, and administrative workflows.
• There is potential exposure to common medical practice conditions, including communicable diseases, bodily fluids, and chemical substances.
• Physical demands include walking, bending, reaching, lifting up to 20 pounds, stooping, assisting patients, and prolonged periods of sitting.
• The position may also involve occasional stress due to multiple responsibilities and competing priorities.
