Job Description

The Quantum System Specialist position is the acting frontline Subject Matter Expert (SME) for Quantum ERP software. This position works closely with the Senior Quantum Administrator in maintaining user access, security roles, system configuration, user training, report generation, and contract data. This position provides support to Program Management, Supply Chain, Logistics, Inventory, Quality, Finance, Information Technology, and system users. The Quantum System Specialist also coordinates technical issues with Component Control support to provide timely solutions to ERP system maintenance and bugs.

The position requires both technical knowledge of Quantum Control and a practical understanding of aviation logistics, government contracting, inventory accountability, procurement, and order fulfillment.

A sample of the duties include, but are not limited to:

Quantum Control User Support

  • Manage Quantum Control user accounts from initial setup through deactivation.
  • Assign permissions, security grants, company access, warehouse access, module access, and other role-based privileges.
  • Process approved access changes when employees transfer, change responsibilities, or leave the company.
  • Upload part and contract data, verify the results, and correct errors before the information is used for production work.
  • Help employees resolve problems involving access, inventory transactions, purchasing, requisitions, order processing, reports, workflows, and data entry.
  • Determine whether an issue is related to permissions, system configuration, incorrect data, user procedures, report logic, or a software defect.
  • Test approved configuration changes, data uploads, report revisions, and system fixes before they are released to users.
  • Participate in Quantum Control upgrades, testing, implementation, and post-upgrade review.
  • Provide frontline Quantum technical support related to contract requirements, including the creation of warehouse and stock locations, uploading part data, and verifying accuracy.

Database Queries and Report Development

  • Write and maintain approved SQL queries used for reporting, reconciliation, troubleshooting, and data analysis.
  • Create database views that provide reliable data sources for recurring reports and management dashboards.
  • Develop reports using Quantum Control reporting tools, SQL, Crystal Reports, Microsoft Excel, or Power BI.
  • Build reports for inventory accountability, procurement status, requisitions, order fulfillment, backorders, warehouse activity, deliveries, and contract performance.
  • Meet with report users to define the business requirement, required fields, calculations, filters, frequency, and output format.
  • Maintain documentation for important reports, including their purpose, owner, data source, filters, calculations, access restrictions, and revision history.
  • Restrict access to reports that contain sensitive contractual, financial, customer, supplier, or government information.
  • Update reports when contract requirements, operating procedures, or Quantum Control data structures change.

Data Quality and Contract Analysis

  • Audit Quantum Control records for missing, duplicate, inaccurate, outdated, or inconsistent information.
  • Research discrepancies and work with the department responsible to make approved corrections.
  • Analyze data for Program Managers and contract personnel when operational or contractual issues arise.
  • Prepare recurring and ad-hoc reports required by contracts, customers, government agencies, or company management.
  • Develop action plans based on report findings and track whether the approved actions improve performance.
  • Attend contract and program meetings to explain Quantum Control data, answer system questions, and discuss unresolved risks.
  • Provide records and reports for customer reviews, internal audits, government inquiries, and inventory reviews.

Employee Quantum Training

  • Train users how to enter data correctly, complete transactions, run reports, protect account access, and follow contract-specific procedures.
  • Prepare standard operating procedures, job aids, report instructions, process maps, and troubleshooting guides.
  • Update training materials when the system, contract requirements, or company procedures change.
  • Review recurring user errors and decide whether they require training, process changes, configuration changes, or management attention.
  • Assess employee training needs with the help of the contract Program Manager.
  • Develop training process(es) based upon employee needs.
  • Provide training through virtual or face-to-face methods.

Education

  • Associate degree in Computer Science, Computer Programming, Information Systems, Supply Chain Management, Business Management, Logistics, or a related technical or business field is required; a bachelor’s degree is preferred. Coursework or training in Oracle SQL, SAP Crystal Reports, or Power BI/DAX is preferred.
  • Relevant work experience may substitute for the education requirement at a rate of two (2) years of qualifying experience for each one (1) year of college. Accordingly, four (4) additional years of relevant experience may substitute for the required associate degree.

Experience

  • Minimum of four (4) years’ experience in computer programming, enterprise resource planning (ERP) system administration, or management information system maintenance, including at least two (2) years of experience using or supporting Quantum ERP or a comparable ERP or management information system.
  • Artificial Intelligence programming and application experience is a plus
  • Logistics or supply chain experience is preferred.
  • Direct experience supporting contracts or projects for the U.S. Government, including the U.S. Department of Defense, is preferred.

Licenses or Certifications

  • Current driver’s license
  • Must have ability to obtain and retain a valid security clearance and US Passport.
  • Six Sigma experience or certification is preferred.
