On behalf of our Tanzania based client, we are looking for a competent and experienced Fleet Administration Coordinator . POSITION IN THE COMPANY Position Label : Fleet Administration Coordinator . Function : People & Culture Supervisor Position : Fleet Manager, POSITION PURPOSE To provide effective administrative and data management support for Fleet Operations by ensuring accurate maintenance of vehicle service and repair records, timely processing of fleet-related reports and documentation, coordination of driver and visitor transport arrangements, and efficient management of fleet administration activities to support business operations and compliance requirements. KEY DUTIES AND RESPONSIBILITIES Main Areas of Responsibility: Ensure that all vehicle service and repair data are accurately recorded and maintained in Fleetio as per the LPO for each vehicle, and maintain proper physical document files. Prepare and distribute quarterly vehicle maintenance cost reports to all Branch Managers. Prepare and compile the monthly Excel report showing the list of outsourced Q Source drivers and their overtime before the 10 th of each month for submission to the Payroll team. Also ensure verified through-vehicle track system overtime reports for TCC drivers are compiled before the 10 th of every month for signing and forwarding to the Payroll section. Ensure timely arrangement of drivers for visiting personnel, including airport transfers, hotel transportation, office visits, and other required movements within the city. Order office stationery and coordinate other office requirements each month. Collect monthly fuel reports from all TCC branches before the 5th of each month, compile them, and prepare the Fleet Dashboard report. Share it with the Sales team before the 8th of each month for consolidation with the sales volume dashboard. Confirm and obtain approval for monthly transport usage with users and HODs, and follow up with vendors to ensure timely submission of estimates and invoices. Monitor vehicle wash services and confirm completion as required. Ensure all branch deliveries are completed accurately and on time, and that all records are properly entered into the relevant systems and filed immediately upon receipt.
