Purpose of the Role


The External Associate Procurement supports the execution of sourcing and procurement activities for the Rwanda site including and not limited to operational procurement support, supplier coordination, documentation and system administration while building foundational procurement capability. The role works under guidance and supervision, collaborates closely with internal stakeholders and external stakeholders and contributes to procurement projects at the Rwanda Site with a strong emphasis on compliance.

Main responsibilities

  • Support sourcing activities for Rwanda site operational expenditure

  • Assist with supplier selection process by coordinating required documentation, evaluations and comparisons based on predefined criteria such as quality assurance, technical capability and financial capability

  • Support the identification and implementation of cost saving and efficiency opportunities through improved sourcing practices

  • Coordinate with Compliance and ESG team to conduct vigorous supplier due diligence before supplier onboarding and conduct retrospective due diligence for existing suppliers

  • Support risk assessments to ensure security of supply and mitigate risk by implementing dual/multiple sourcing of indirect materials and services with knowledge of main operational risks in procurement such as quality failures, security of supply and logistic complexities

  • Assist with ensuring supplier compliance with BioNTech safety, health and environment requirements by embedding SHE clauses on contracts and ensure the suppliers hold relevant regulatory and legal authorization to delivery services and goods

  • Maintain effective communication and relationship with site procurement and other departments to support day-to-day procurement activities

  • Maintain supplier relationships through regular follow-up and coordination, escalating supplier queries, issues and risks to the Line Manager

  • Assist in training and supporting internal users on the use of procurement systems and processes

  • Maintain accurate, complete and up to date procurement documentations within BioNTech systems to ensure traceability, audit readiness and ease of reference

  • Support the follow-up of importation activities for indirect materials and equipment sourced internationally from various suppliers, including coordination of documentation related to imports, payment mechanisms and customs clearance in line with the regulatory and organizational requirements

  • Prepare and consolidate procurement related data, trackers and reports to support informed decision making by the procurement team and internal stakeholders


Requirements


Work Experience, Skills, and Abilities


Educational level

  • Completed a bachelor’s degree in a business-related course

Professional experiences/Knowledge (Specific industry, function, projects / general and technical)

  • Completed a bachelor’s degree in a business-related course

  • Chartered Institute of Procurement & Supply (CIPS) or similar qualification or studying towards CIPS qualification would be beneficial

  • 3 years of experience in sourcing across various categories

  • Previous experience of working in a procurement team, preferably within a manufacturing environment

  • GxP-related experience is a plus

Other requirements (licenses, certifications, specialized training, physical or mental abilities required)

  • Experience in using an integrated Enterprise Resource Planning (ERP) system

  • Able to build and maintain effective relationships with internal stakeholders and suppliers

  • Good communication, negotiation, interpersonal and influencing skills

  • Analytical, numerically astute with strong demonstrated problem-solving abilities

  • Able to manage time effectively, prioritize tasks and achieve set targets

  • Keen attention to detail and accuracy

  • Solution-oriented & service-orientated way of working

  • Excellent communication skills

  • Self-motivated work attitude and an ownership spirit for the job
