Job Description

LV Petroleum is seeking a highly organized, detail-oriented, and experienced QSR Development Administrative Assistant to support our growing development team. This is a 100% in-office position and is ideal for someone who understands the QSR development and construction process and already has established relationships with QSR brand partners.

The right candidate will be comfortable managing a high volume of active projects, coordinating with multiple stakeholders, tracking deadlines and updates, and keeping leadership informed on the status of 85+ development projects at any given time.

Key Responsibilities

• Support the QSR Development team with day-to-day administrative and project coordination needs.
• Maintain accurate and up-to-date project information across the entire development pipeline.
• Track 85+ active QSR development and construction projects simultaneously.
• Coordinate project updates with internal teams, QSR brand partners, landlords, developers, contractors, and other stakeholders.
• Maintain project timelines, milestones, approvals, deadlines, and outstanding action items.
• Follow up with project partners to obtain updates and ensure projects continue moving forward.
• Prepare and distribute project status updates and reports.
• Maintain organized project files, documentation, correspondence, and records.
• Communicate changes, delays, approvals, and other important project updates to the appropriate team members.
• Schedule meetings, calls, site visits, and project-related activities as needed.
• Assist with tracking development and construction documentation.
• Identify outstanding items and proactively follow up rather than waiting for updates.
• Support the Development team with special projects and administrative needs as assigned.

What We’re Looking For

• Prior experience working with QSR brands, franchise partners, or QSR development teams is required.
• Strong understanding of the QSR development and construction project pipeline.
• Existing experience communicating with QSR brand partners and other development stakeholders.
• Exceptional organizational and time-management skills.
• Ability to manage and prioritize 85+ active projects at various stages of development.
• Excellent written and verbal communication skills.
• Strong attention to detail and follow-through.
• Ability to track multiple deadlines and moving parts without losing sight of priorities.
• Proficiency with Microsoft Office, Excel, Outlook, and other administrative/project tracking tools.
• Ability to work independently while maintaining strong communication with the Development team.
• Professional, dependable, and highly organized.
• Ability to work in a fast-paced environment where priorities can change quickly.
