Job Category: Admin - ClericalCharlotte Behavioral Health Care (CBHC) is seeking a dependable, detail-oriented person to support our Quality Management and Medical Records functions. This position assists with regulatory compliance, audits, quality improvement activities, data tracking, committee support, and the maintenance of accurate and confidential patient records.
Key Responsibilities
- Provide administrative support, including scheduling, correspondence, document preparation, and record organization.
- Assist with audits, accreditation surveys, monitoring reviews, and corrective action follow-up.
- Collect, enter, and track quality and risk management information.
- Maintain organizational policies and procedures.
- Prepare meeting agendas and minutes.
- Conduct weekly patient satisfaction survey collection in outpatient and inpatient settings.
- File, retrieve, track, and maintain electronic and paper medical records.
- Review records for missing documentation and notify staff.
- Maintain tracking systems for chart completion and closure.
- Assist with required reporting to regulatory and accrediting organizations.
- Protect the confidentiality and security of records in accordance with HIPAA, 42 CFR Part 2, and other privacy requirements.

Qualifications
- High School diploma or equivalent.
- Minimum of one year of administrative support, preferably in healthcare, behavioral health, medical records, or another regulated environment.
- Familiarity with AHCA, CARF, DCF, Medicaid, Medicare, or behavioral health managing entities.
- Strong organizational, communication, computer, and data-entry skills.
- Ability to maintain accuracy, meet deadlines, manage multiple priorities, and handle confidential information appropriately.
- Ability to pass a Level II Background Screen and drug test.
