QME Master Scheduler

To ensure that we hire and retain the quality of staff needed for implementing our philosophy of service, we have adopted the following job description for this position.

The position is an hourly position. Workdays are typically scheduled withing a five-day workweek. Hours and days may vary based on operational needs. All scheduling complies with applicable California wage-and-hour-laws.

Many of the responsibilities require that you have a working knowledge of computers and the ability to make proper use of the programs utilized in this office, or those that may be necessary to meet the needs of the practice.

BASIC FUNCTION:

Under the supervision of the Director of Workers’ Comp Department and his/her designees, the QME Scheduler shall be responsible to coordinating physicians’ schedules, monitoring rescheduling and cancellations and assisting the workers compensation department in any other areas deemed necessary.

JOB SUMMARY:

The QME Master Scheduler is responsible overseeing a high-volume, multiple provider calendar for Qualifed Medical Evaluations (QMEs) Independent Medical Examinations (IMEs) and Agreed Medical Evaluations (AMEs). The QME Master Scheduler is the primary gatekeeper between injured workers, applicant attorneys, insurance defense counsels, the state worker compensation board, and Medical Evaluators. The QME Master Schedule will come into contact daily with confidential patient files and must be able to handle this information with the highest degree of privacy, discretion, and professionalism.

Duties and Responsibilities:

• Handle all cancellations and reschedules for med-legal appointments.
• Coordinate physicians availability with Clinic Master Coordinator
• Responsible for sending out notices regarding reschedules
• Generate Letters in ECW and saving them to appropriate folders.
• Review providers schedules - add/ close locations
• Update QGENDA when changes are made in APM
• Reschedule / Bumps / Cancellations
• Send actions to Lorraine -> Send email to referring source
• Take cancellation/reschedule calls when AA/DA call in
• Reschedule/cancel when requests are sent to AO QME email
• Email confirmation of cancellation & send action
• Update historians if QME is within 4 weeks
• Update managers if QME is within 4 weeks so slots can be filled by clinic
• Open QME dates for schedulers
• If QME date is full to review to see what other day can be used if any and reach out to Brittney S for assistance
• Email providers if needing to ask for time back to schedule QMES
• Assess travel time for providers from each location
• Call patients to confirm QME appointments daily
• If patients want to reschedule and attorneys are involved, call/email them to let them know patient is requesting to cancel/reschedule.
• Call attorneys to secure patient’s phone numbers.
• Update QME Verification 2 log with any confirmations
• Assist department with intakes
• Unfreeze/freeze schedules for schedulers when needing to add STATS
• Maintain Excel List for reschedules and daily log.
• Any other duties may be assigned by the Manager.

Skill and Education Requirements:

• High school diploma or equivalence required.
• Associate or bachelor’s degree preferred
• Ability to type a minimum of 40 words per minute.
• Skill in operating a computer and scanner, as well as software programs including Microsoft Word, Excel, Outlook and WordPerfect.
• Excellent analytical skills, and great attention to detail.
• Excellent verbal and written communication skills with patients, providers, and staff.
• Ability to maintain patient confidentiality and comply with HIPAA regulations.
• Attention to detail and accuracy in documentation and recordkeeping.
• Must be well versed with anatomic and medical terminology
• Bilingual a plus.

Certificates, pre-employment requirements:

• Required to submit and obtain a negative result in the pre-employment drug screening.
• Ability to pass a background check.
