Position Overview

We are looking for a motivated and detail-oriented QuickBooks Online (QBO) Trainee to join our financial team. In the cleaning and restoration industry, financial accuracy is critical due to fast-moving emergency jobs, complex insurance claims, and specialized job costing. Under the guidance of our senior financial team, you will learn the ins and outs of QBO while helping us maintain organized and accurate books. This is an entry-level learning role with substantial room for growth into a full-charge bookkeeper or accounting specialist.

Core Responsibilities

• Learn and navigate the QuickBooks Online ecosystem, workflows, and automated banking feeds.
• Input and categorize daily operational transactions, including field equipment purchases, chemical supplies, and safety gear.
• Match bank and credit card feed transactions with existing invoices, receipts, and estimates.
• Learn job-costing workflows by allocating expenses, mileage, and labor hours to specific residential, commercial, or insurance restoration projects.
• Assist with accounts receivable by preparing customer invoices and tracking payments from residential clients, corporate accounts, and insurance companies.
• Input vendor bills from suppliers and trade contractors into accounts payable, keeping an eye on due dates.
• Help reconcile monthly bank statements and credit card accounts to ensure zero variances.
• Digitally file and link receipts, work orders, and insurance payout letters to their corresponding QBO entries.
• Attend organized QBO training sessions, achieve Intuit QuickBooks ProAdvisor certifications, and study internal restoration workflows.

Required Qualifications & Skills

• Basic understanding of fundamental accounting concepts (debits, credits, and basic financial statements).
• Strong computer literacy and a high comfort level learning cloud-based software platforms.
• Extreme attention to detail with the ability to spot anomalies in numbers and descriptions.
• Analytical mindset with strong critical thinking skills to problem-solve workflow discrepancies.
• Clear verbal and written communication skills to collaborate with field technicians, project managers, and vendors.
• Prior experience with restoration software (e.g., Xactimate, Encircle, Jobber) is a plus but not required.
• No prior extensive QuickBooks experience is required; we will train the right individual who displays a strong drive to learn.

Compensation: $40,000.00 per year
