Job Description

The Quality Assurance (QA) Coordinator is responsible for ensuring program compliance, documentation quality, and continuous quality improvement within an ACS-funded Child Welfare Prevention Program. The QA Coordinator supports program leadership by monitoring case records, policies, and data systems to ensure adherence to ACS regulations, OCFS requirements, contractual obligations, the evidence-based Family Connections model, and city and state reporting systems including CONNECTIONS and PROMIS.

Job Responsibilities:

• Conduct routine and targeted audits of physical and electronic case records to ensure compliance with ACS Preventive Services regulations, OCFS standards, and agency policy.
• Ensure adherence to Family Connections evidence-based model fidelity, including required assessments, goal setting, intervention delivery, supervision frequency, service duration, and case closure criteria.
• Review case documentation to ensure it is timely, complete, accurate, and reflective of case activity and supervisory oversight.
• Review and monitor case activity in the OCFS CONNECTIONS system to ensure compliance with documentation requirements, service authorizations, and supervisory review standards.
• Review and monitor NYC PROMIS data to ensure accurate and timely entry of demographics, services, and outcomes, and consistency with CONNECTIONS and the case record.
• Identify discrepancies across CONNECTIONS, PROMIS, Power BI, and the case record and collaborate with supervisory staff to ensure corrective actions are implemented.
• Support program readiness for ACS, OCFS, and NYC audits, monitoring visits, and quality reviews.
• Track findings, corrective actions, and follow-up activities to ensure sustained compliance.
• Support the development, implementation, and monitoring of Quality Improvement Plans (QIPs).
• Analyze audit findings and trends from CONNECTIONS, PROMIS, and Power BI to identify strengths, risks, and improvement opportunities.
• Collaborate with the Program Director to implement corrective actions and strengthen evidence-based practice delivery.
• Participate in leadership, quality assurance, and continuous improvement meetings.
• Cover 2-3 cases as needed.
• Provide technical assistance to supervisory and direct service staff related to ACS, OCFS, and Family Connections documentation and compliance standards.
• Support onboarding and ongoing staff training related to preventive services requirements, evidence-based practice, and data system use.
• Assist supervisors with coaching to improve documentation quality, supervisory oversight, and model fidelity.
• Maintain and regularly update the program’s Power BI database to track compliance indicators, audit findings, productivity, and performance trends.
• Ensure data integrity and cross-system consistency across Power BI, CONNECTIONS, PROMIS, and internal case records.
• Develop dashboards and compliance reports to support supervisory oversight, program planning, and regulatory review.
• Prepare audit-ready reports and data summaries for Program Director review and ACS submission.

Requirements

You must have:

· Bachelor’s degree in Social Work, Human Services, Public Administration, Data Management, or a related field required

· Master’s degree preferred.

· Minimum of 2–3 years of experience in ACS-funded child welfare preventive services.

You should have:

· Experience with Family Connections or another ACS-approved evidence-based model preferred.

· Experience using CONNECTIONS, PROMIS, Power BI, and conducting quality assurance and audit activities strongly preferred.
