The Receptionist is the first point of contact for visitors, clients, and stakeholders. This role is crucial in creating a positive and welcoming atmosphere while efficiently managing various administrative tasks. The ability to communicate fluently in both English and Spanish is essential for this position. The Receptionist is responsible for receiving clients, in-person and via telephone, and directing them to the proper program: cashier and mailroom duties. Must be able to work overtime when needed. What you DeliverGreet and welcome visitors with a warm and friendly demeanor. Provide information about the organization's mission, programs, and services. Directing clients and visitors accurately to staff members. Assure all clients and visitors sign in and provide them with a visitor badge. Requires contact with staff, clients, volunteers and public telephone or in-person.Operating switchboard functions of computerized telephone system, recording and selecting outgoing messages, taking messages, and facilitating communications between staff members. Assessing calls and transferring calls to appropriate program or staff members. Assist with general administrative tasks, such as photocopying, filing, and data entry. Maintain a clean and organized reception area. Manage incoming and outgoing mail and packages. Open and distribute daily mail, along with stamp out- going mail.Collecting and accounting for programs service fees, collecting in-kind and monetary contributions. Assist with processing safe contents. Accepting all packages from FedEx/UPS etc. and delivering to appropriate recipient. Monitor FedEx/UPS logbook to ensure all information is legible and accounts codes are provided for shipments. Provide backup for Support Services Assistants as needed. Performing other duties as assigned by Purchasing and Support Services Coordinator I such as data entry, helping with various mailings, assisting other departments, etc.Work closely with Building Services and/or Support Services regarding assistance with donations, room set-ups, deposits, or any facility maintenance. Assisting with special organizational projects/events, etc. Other duties as assigned by Purchasing and Support Services Director or Supervisor.
