Summary/Responsibilities
The Purchasing and Receiving Coordinator is responsible for overseeing and managing all incoming deliveries to the hotel, and departmental purchases. This role ensures that all goods received are accurate, properly documented, meet quality standards, and comply with company purchasing policies. The Purchasing and Receiving Coordinator works closely with Accounting, Food & Beverage, and other departments to maintain accurate inventory control and cost management.
- Work closely with the Director of Finance & department head to ensure purchasing needs while ensuring excellent product quality and standard at a fair price
- Control operating expenses through effective planning and pars level
- Plan, direct and maintain order guides
- Responsible for all orders, costing, transfers, and credits of all orders relating to the F&B department
- Inspect & responsible for quality control of goods and services received. Refuse acceptance of damaged, unacceptable, or incorrect items.
- Check invoices for correct prices and quantities, and process in accounting software
- Work closely with department heads to maintain accurate and complete inventories to be submitted by the first of every month
- Must establish and maintain exceptional relationships with vendors, and local purveyors
- Communicate with department head concerning late deliveries and suppliers
- Expedite delivery of goods to departments area; maintain orderly storeroom area
- Comply with food safety and handling policies and procedures across all food-related areas
- Support accounting IT in opening tickets with hotel’s MSP
- Receive and distribute incoming mail to departments.

Qualifications

Qualifications
Education/Formal Training
- High school diploma or equivalent required; associate degree in Accounting, Business, or related field preferred.
Experience
- Minimum 1–2 years of receiving, purchasing, warehouse, or hotel experience preferred.
- Experience in hospitality or hotel operations strongly preferred.
Knowledge/Skills
- Knowledge of inventory management systems and basic accounting principles.
- Proficiency in Microsoft Office (Excel, Outlook).
- Strong attention to detail and organizational skills.
- Ability to lift up to 50 pounds and stand for extended periods.
- Excellent communication and interpersonal skills.
