Purpose and Scope
The Purchasing Receiving Clerk supports Farmer Focus operations by helping secure plant supplies, services, and packaging needed to prevent out-of-stock situations and keep production moving. This role processes purchase requests and requisitions, obtains and tracks vendor quotes, supports purchase order creation in the ERP system, communicates with vendors,assistswith new vendor setup, and partners closely with Purchasing, Receiving, Accounting, and department leaders. The right candidate is detail-oriented, service-focused, comfortable working in systems and spreadsheets, and able to use basic data analysis tomonitorinventory, pricing, purchasing activity, and reporting needs.
Key Responsibilities
Processto purchaseorders completely, accurately, and on time, including entering POs into the ERP system,forwardingcopies to vendors, and comparing vendor acknowledgments to original orders.
Prepare purchase orders based on sales orders, inventory stock requirements, plant supply needs, packaging needs, and miscellaneous requisition requests.
Follow up on open orders, delivery dates, quantities shipped, pricing, vendor acknowledgments, and other order-related details to support continuity of production.
Receive and inventory ordered goods and services, including checking in small-item deliveries,validatingpackage and pallet receipts, and supporting department verification of packing slips against items received.
Match packing slips with purchase orders to help ensure charges areaccurateandsubmitdocumentation to Accounting for proper payment processing.
Provide price verification, obtain price quotes, research requested items, andmaintaincurrent product pricing in the system asrequired
Collect inventory information from all sites, perform inventory counts as needed, and prepare clearreports forsummarizing findings, variances, and follow-up needs.
Use basic data analysis skills to review purchasing activity, inventory levels, pricing changes, delivery trends, and discrepancies, escalatingpatternsor concerns to the Manager of Purchasing.
Acquireandmaintainsupplier and vendor information,assistwith new vendor setup, andmaintainproductive working relationships with vendors, co-workers, and internal customers.
Assiststaff with questionsregardingrequested items, returned items, supply requests, andpurchasedmaterials.
Organize,maintain, and replenish supply storage areas to fulfill staff requests and support operational readiness.
Prepare purchase order forms withappropriate informationand documentation for approval by the proper authority, when applicable.
Assist the Finance department as needed and act as an information source for internal questions related topurchaseditems.
Work effectively within SVO software platforms and contribute to cultivating the SVO Culture.
Perform all other related duties as assigned by Management.

Qualifications
Associate degree in Business preferred; three years of experience working in an office environment with evidence ofpurchasingand receiving experience preferred.
Experience with ERP systems and basic spreadsheets, with the ability to consistently enter andmaintaindata with a high degree of accuracy.
Demonstrated ability to use data analytical skills toidentifytrends, variances, inventory issues, pricing discrepancies, and reporting needs.
Able toidentifysituations where management decisions are needed due to variances between purchase orders issued and items received.
Solid understanding ofpurchasingprocesses, receiving practices, inventory controls, and basic documentation requirements.
Ability to use business tools including computers, copiers, scanners, ERP systems, spreadsheets, and related office technology.
Strong interpersonal and communication skills, with the ability to correspond verbally and in writing in a manner that promotes mutual understanding.
Self-directed, detail-oriented, organized, and able to manage competing priorities with good judgment and excellent time management skills.
Enthusiastic and proactive team player with a positive attitude and the ability to interact professionally with management, staff, vendors, and the public.

Work Environment, Physical Demands, and Travel
Work is conducted primarily in an office environment; however, this role will also access production and warehouse environments as needed. Must be abletoleratevarying heat, wet, and chilled conditions in the plant. Hearing and eye protection arerequiredin production areas, and hair and beard nets must be worn whererequiredThis role requires the ability to lift up to 40 pounds from time to time, fine hand and finger dexterity, 20/20 corrected vision, color vision, and the ability to climb stairs to view processes.Team members mustcomply withall safety rules and instructions,participatein Company training programs, and make every effort to learn, develop, and upgrade skillsrequiredfor this job classification.
